Position Title
Special Assistant to the President

OverviewAs a core member of a high‑performing President’s Office and reporting to the Chief of Staff, the Special Assistant to the President manages the preparation, coordination and execution of presidential briefing materials, correspondence and communications workflows. The role ensures the President is fully prepared for meetings, engagements and decision‑making through accurate, timely and well‑coordinated materials and information flow. A successful candidate will actively engage with the Dartmouth community to build the context and relationships necessary to support the President effectively.
Key Responsibilities- Presidential Materials & Meeting Preparation (35%):
Prepare, assemble and deliver briefing materials, review and refine for accuracy, ensure decision readiness, coordinate timelines, and maintain tracking systems. - Presidential Correspondence & Communications Operations (30%):
Manage correspondence workflows, draft and edit communications, oversee the public‑facing email account, track items through resolution, and coordinate holiday cards and other correspondence initiatives. - Presidential Operations (15%):
Maintain internal document repositories, track deadlines, support website content updates, maintain operational systems and coordinate initiatives and special projects. - Presidential Staffing, Coordination & Coverage (20%):
Support day‑to‑day schedule, staff on evening and weekend events, provide backup scheduling, coordinate across campus offices and represent the President’s Office to stakeholders.
Bachelor’s degree plus 6+ years supporting senior executives or equivalent experience.
- Exceptional organizational, writing and editing skills.
- Ability to produce and refine executive‑level written materials.
- Experience coordinating briefing materials or correspondence workflows.
- Manage multiple deadlines simultaneously.
- Strong judgment, discretion and ability to manage confidential information.
- High technological fluency with collaborative tools and document management systems.
- Operate effectively in a fast‑paced executive environment.
- Translate broad direction into clear deliverables and manage projects with minimal supervision.
- Support both strategic material preparation and real‑time executive operations, including scheduling coordination and event support.
- Experience supporting senior leadership in higher education, government or nonprofit environments.
- Experience coordinating executive correspondence or communications operations.
- Familiarity with website content coordination or executive communications workflows.
