Position PurposeThe Facility Operations Planner plans, schedules, and coordinates maintenance work so that trade teams and outside service providers can perform their work efficiently, safely, and with minimal delay. Rather than simply processing incoming work orders, the Planner looks ahead to schedule upcoming workloads across shops, and confirms that the right people, parts, and resources are in place before work begins.
Working as a partner to Shop Supervisors and departmental management, the Planner develops realistic schedules, keeps the maintenance backlog moving, and removes barriers that slow work down so supervisors can focus on leading their teams. The Planner serves as the central coordination point for multi-shop work, contractors, utility shutdowns, and space access, and uses operational data, such as backlog, preventive maintenance completion, overtime, emergency work, and schedule compliance, to identify trends and drive continuous improvement.
This position reports to the Director of Maintenance Services and provides additional support for administrative and management functions as needed.
Associates plus 2-3 years' experience or equivalent combination of education and experience
Required Qualifications - Skills, Knowledge And Abilities- Associate’s degree in engineering, operations, business, or a related field required; bachelor’s degree preferred. Alternatively, three or more years of experience in an operations planner/scheduler role or operations leadership position, or an equivalent combination of education and experience.
- Minimum of two years of experience supporting customers and skilled trade team members in building operations and maintenance, construction, or similar service environment, with demonstrated knowledge of building maintenance and work order management.
- Knowledge of institutional building system types and associated maintenance and reliability issues.
- Demonstrated ability to plan, schedule, and coordinate work across multiple trades, balancing competing priorities and workloads.
- Strong analytical and problem-solving skills, including the ability to interpret operational data—such as backlog, PM completion, and schedule compliance and translate it into actionable recommendations.
- Excellent oral and written communication skills, with the ability to communicate effectively across a wide range of audiences, including faculty, staff, students, and other departments.
- Demonstrated ability to establish and maintain positive customer and stakeholder relationships and to work collaboratively with supervisors and trade teams.
- High degree of attention to detail, with the ability to document requests and plans thoroughly, accurately, and consistently with minimal supervision.
- Proficiency with computerized maintenance management software (Planon or a similar CMMS ) and Microsoft Office applications, including Word, Excel, PowerPoint, Power BI, and Outlook.
- Bachelor’s degree in engineering, operations, building or a related field.
- Experience as a maintenance planner/scheduler in a college, university, healthcare, or other large institutional environment.
- Familiarity with preventive and reliability-centered maintenance concepts and asset management best practices.
- Experience building reports or dashboards (for example, in Power BI) to track and improve maintenance performance.
- Professional certification such as Certified Maintenance & Reliability Professional ( CMRP ) or equivalent.
