Position Purpose

This position serves as a representative for Facilities Operations & Maintenance (FO&M) supporting the delivery of capital projects. The coordinator will be involved in all phases of the construction projects including planning, design and construction, with emphasis on commissioning, project turnover and acceptance, warranty and post‑construction review. The coordinator will work with the project team to ensure that construction projects are delivered operationally ready, fully functional, Dartmouth‑compliant, and maintainable.

They will ensure operations visibility on key project activities, focusing on efficiently completing necessary design and construction reviews and transition activities.

Responsibilities Project Support (35%)
  • Facilitate communication on projects between Project Management, Operations, and Trade Shops; escalate issues when needed.
  • Participate in project scoping to understand the scope of work, key customer and stakeholder goals, project schedule, and potential impacts on existing building systems and utility infrastructure.
  • Coordinate with Shops and Customer Service Center to review recurring building work orders, maintenance records, and renewal needs database to identify needs that can be included in the scope of the project.
  • Participate in coordination meetings; report on coordination drawings and BIM models (where used) for interferences between various trades.
  • Review exceptions to Dartmouth Design & Construction Project Guidelines identified by the project team and request documentation through the Variance Request Form.
  • Consolidate written comments from Operations on drawings, specifications, proposed value‑engineering and submittals.
  • Document Operations project progress walks to review layout and equipment accessibility for maintenance and service activities including location of access doors, valves, disconnects and elevated surfaces.
  • Document and communicate identified project issues via Dartmouth Observation Form.
  • Escalate items which remain unresolved at the Project Team level to Operations and Engineering management.
Acceptance, Project Turnover Guidelines and Checklists (25%)
  • Participate in project acceptance to have visibility to degree of acceptance and remaining acceptance items until contractors and project managers reach 100% project acceptance.
  • Coordinate and schedule applicable project training for Operations shops on all capital projects.
  • Review all turnover and close‑out documents and coordinate with project manager for completeness prior to final vendor payment, ensuring close‑out documents are complete.
Asset Management (15%)
  • Facilitate review and receipt of completed asset spreadsheet provided by Commissioning Agent and coordinated with asset‑tagging vendor for Operations to incorporate into Plan On.
  • Attic Stock Receipt – Review, inventory, and verify spare parts and materials for Operations.
Post‑Project Follow‑Up (10%)
  • Review applicable warranty phase issues on capital projects. Verify correct implementation.
  • Coordinate 30/60/90‑day and 11‑month warranty reviews to track issues and monitor warranty‑related requests.
Schedule (5%)
  • Review project master schedule for project turnover activities, including commissioning, training, and asset entry.
  • Review integrated Project Construction Schedule with milestone and detailed events.
Culture and Employee Belonging (CEB) (10%)
  • Demonstrates a commitment to inclusion, and cultural awareness through actions, interactions, and communications with others.
  • Participates in division‑wide CEB initiatives and training, including promotion of the 7 Principles (Empathy, Fairness, Dependability, Inclusivity, Consideration, Vulnerability and Respect).
  • Collaborates, when appropriate, on other CEB‑related initiatives within the division and College.
  • Demonstrates professionalism and collegiality through actions, interactions, and communications with others appropriate to an environment that is welcoming to all.
