Role
Purpose:
To manage, oversee and coordinate all administrative functions of the department, advising the Chair and faculty on departmental administrative matters, ensuring efficient and accurate operations and sound fiscal management.
- Administration – oversee and coordinate all department functions including Master and Ph.D. graduate programs, set internal deadlines, manage event planning, interpret and apply college policies, develop and implement department policies with the Chair, liaison with campus offices, manage purchases, facilities, and hiring processes.
- Financial/Budget Management – develop department budget with the Chair, prepare budget reports and projections, monitor accounts, approve purchasing, act as Fixed Assets controller, manage P‑Card transactions and reimbursements.
- Faculty and Graduate Studies Program Support – coordinate faculty searches, manage appointments, maintain confidential files, advise on funding and stipend compliance, support graduate student progress reporting, assist in scheduling.
- Communication – serve as primary contact for students, visitors and community, advise students on program requirements, prepare timetables, maintain department web page, support fundraising efforts.
- Event Coordination – plan and implement department events, handle advertising, invitations, room and equipment logistics.
- Information Management – maintain records, determine retention and disposal of information.
- Staff Development – hire, train and supervise 3 administrative staff, prepare performance evaluations, manage payroll authorizations and timesheets.
- Additional:
Demonstrate professionalism and collegiality, perform other duties as assigned.
- Bachelor's degree or equivalent combination of education and experience.
- 3+ years of administrative, financial or academic experience.
- Excellent verbal and written communication and interpersonal skills.
- Strong planning and organizational skills.
- Knowledge of financial and budget principles and procedures.
- Ability to acquire new technical skills and implement new procedures.
- Attention to detail and accuracy.
- Ability to work independently and as a team member.
- Ability to maintain confidentiality and security.
- 6+ years of administrative, financial or academic experience in a highly autonomous setting.
