The Conservation Center for Art & Historic Artifacts (CCAHA) in Philadelphia is seeking a Preservation Services Coordinator for its Preservation Services Office (PSO). The Preservation Services Coordinator contributes to the overall work of the Preservation Services Office and DHPSNY program by offering administrative coordination and support, assisting with educational program production and logistics, and providing communications and marketing support.
LocationThis is a hybrid, full-time position located on-site at CCAHA in Philadelphia. After the first 60 days of employment, the selected candidate may choose to work remotely two days per week.
Reports toThe Preservation Services Coordinator reports to the Director of Preservation Services and DHPSNY Program Manager.
Responsibilities Administrative CoordinationPerform general office duties and provide departmental support, including answering phones, ordering workshop supplies, and administration of key department databases.
Working in support of the Preservation Services Operations Manager to organize and maintain standardized departmental records and data.
Create digital forms, applications, and evaluations for CCAHA and DHPSNY services.
Assist with Planning & Assessment evaluation follow-up.
Monitor the general departmental email inboxes and connect patrons with applicable staff.
Register staff for conferences and coordinate exhibition and advertising when applicable.
Serve as primary administrator of Preservation Services’ Constant Contact and be responsible for the department’s Little Green Light (CCAHA’s CRM) record-keeping.
Serve as primary administrator of PSO Zoom account, including coordinating meeting schedules, producing educational webinars, training internal and external speakers, and hosting live events and offering support during online programs.
Work with Business Operations Administrator to serve as reception back-up for Records and Client Services Administrator
Educational ProgrammingWorking in support of the Education Program Manager (PSO) and Preservation Education Specialist (DHPSNY), assist in the preparation of educational programs such as workshops, webinars, and national conferences.
Prepare Memorandums of Understanding for workshop sites and speakers, and arrange catering orders for workshops.
Create, send, and track evaluations for education program participants across PSO and DHPSNY programming, and aggregate survey data as needed.
Keep track of metrics and demographics for education programs.
Occasionally serve as a teaching assistant during workshops.
Marketing & CommunicationsIn coordination with the Manager of Marketing & External Relations, maintain and update PSO- and DHPSNY-related web content, including relevant pages on the CCAHA website, social media posts, preservation resource materials, events calendar updates, and uploading You Tube videos.
Prepare bi-weekly email newsletters for publication and send out to the mailing list.
Develop promotional content advertising upcoming events and opportunities for both PSO and DHPSNY across social media platforms and list-servs
Format, proof, edit, and assemble PSO correspondence, announcements, press releases, and educational materials.
Develop structures for external resources to be shared with the field at large.
RequirementsMinimum qualifications of the Preservation Services Coordinator position are:
Minimum of High School Diploma required
Minimum of two years of experience in educational programming and planning or program administration.
Minimum two years’ experience working in cultural heritage sector
Excellent typing, proofing, and editing skills
Excellent working knowledge of Microsoft Office 365
Strong experience in video conferencing software such as Zoom, Web Ex, etc.
Organizational abilities and written and oral communication skills
Experience working in and updating databases
Basic knowledge of graphic design programs such as Canva and Adobe Photo Shop
Basic HTML knowledge and comfort editing website
Ability to work cooperatively and independently
