Job SummaryThe Unit Secretary provides clerical and administrative support for the OB/Women’s Center nursing unit. This position helps coordinate communication, patient information, supplies, diagnostic testing, documentation, and other unit needs under the direction of the Charge Nurse and Manager.
The Unit Secretary works as part of the nursing team to promote efficient unit operations and support continuity of patient care while maintaining patient confidentiality and rights.
Key Responsibilities- Answer telephones and intercom calls courteously and professionally and accurately relay messages to appropriate personnel.
- Serve as a receptionist for the nursing unit by greeting, receiving, and directing patients, families, and visitors.
- Assist patients with making and receiving telephone calls.
- Monitor the patient call system and notify appropriate nursing personnel when assistance is needed.
- Schedule appointments and diagnostic tests for patients as directed.
- Assemble, maintain, and break down patient charts and records.
- Review charts for completeness and maintain required patient documentation.
- Graph patient vital signs and other information as directed, including temperature, blood pressure, pulse, respirations, weight, and diet.
- Review and transcribe physician orders as requested and notify nursing personnel of STAT or NOW orders.
- Prepare and fax appropriate orders or information to the pharmacy.
- Requisition laboratory tests, X-rays, and other diagnostic services as ordered.
- Ensure test results are available to the appropriate nurse or provider.
- Requisition and maintain appropriate levels of unit supplies and nourishment.
- Assist with late meal trays and deliver trays when necessary.
- Deliver patient specimens to the laboratory as needed.
- Sort and deliver departmental mail and other internal communications.
- Complete required daily reports and unit documentation.
- Communicate unit needs to appropriate departments, including Housekeeping and Maintenance.
- Maintain patient rights, confidentiality, and privacy at all times.
- Perform other duties as assigned by the Charge Nurse to support the continuity and efficiency of patient care.
Required
- High school diploma or equivalent.
- Certified Nursing Assistant (CNA) certification.
- Ability to read, write, speak, and understand English.
- Ability to perform clerical duties including maintaining records, completing reports, preparing requisitions, and transcribing physician orders as directed.
- Ability to communicate professionally and effectively with patients, families, healthcare providers, and coworkers.
