General InformationThe Coordinator manages the daily operations of exam and note taking accommodations across multiple locations, ensuring the accurate implementation of accommodations and adherence to legal and institutional standards. Serving in a mid-level leadership capacity within Disability Services, this role oversees frontline staff, coordinates logistics during routine and high-volume testing periods, supports training and compliance initiatives, and maintains efficient program workflows to deliver reliable, equitable services for students with disabilities.
This is a full-time, in-person role in Harrisonburg, Virginia.
Daily Operations & Compliance
- Manage daily exam operations across all testing locations and daily note taking accommodation operations, ensuring accommodations are provided accurately, consistently, and in compliance with legal standards and departmental policies.
- Coordinate Finals Week logistics, including proctor assignments, room setup, and scheduling, in alignment with departmental leadership.
- Ensure adequate proctor coverage and resource allocation for all testing sessions, escalating issues to the Assistant Director as needed.
- Monitor and maintain academic integrity within the testing center and satellite rooms, escalating concerns as required.
- Adjust proctor schedules as needed to ensure coverage in alignment with the Assistant Director’s scheduling framework.
- Assist with testing room allocation, resource optimization, and communication with faculty.
- Collect, track, and enter program data, including issue tracking for Exams and Notes accommodations.
- Maintain routine system workflows and elevate system configuration issues to the Assistant Director.
- Create and update content in compliance with federal and state digital accessibility laws (e.g., minimum of WCAG 2.1 Level AA).
- Other duties as assigned.
Training & Staff Support
- Develop and maintain training materials as needed, and track training completion.
- Provide and coordinate on-the-job training for new ODS Exam & Notes Team Leads and Exam Accommodation Assistants.
- Conduct regular refresher trainings and check-ins with ODS Exam & Notes Team Leads and Exam Accommodation Assistants.
- Assist with updating and maintaining proctor training materials in Canvas, incorporating policy updates and new procedures.
- Provide operational and staff performance feedback to the Assistant Director and support implementation of program improvements.
- Assist with organizing and implementing ODS Training and Orientation Week logistics.
Communication & Escalation
- Independently monitor Exams and Notes email accounts, respond to escalated messages from Team Leads, and handle routine operational communications (e.g., faculty notifications, student reminders, incident reports).
- Request consultation from the Assistant Director for communications involving policy interpretation, academic integrity, or potential legal implications.
- Document all reported academic integrity concerns, promptly notify the Assistant Director of each incident, and communicate with faculty as directed.
