Position SummaryThe Administrative Assistant facilitates the efficient operation of the school or assigned department by performing a variety of clerical and administrative tasks.
Qualifications- Any combination of education and experience equivalent to an associates degree, supplemented by courses in business, mathematics and accounting with experience in general office work.
- At least three years’ experience in an administrative support role.
- General knowledge of clerical/accounting terminology, methods operations, practices and procedures as well as standard office procedures and practices.
- Excellent written and verbal communication skills with proficiency in business English: spelling, grammar, and spoken language to express and/or exchange ideas as well as interact with diverse audiences.
- Familiarity and understanding of working with individuals and families from diverse racial, ethnic and socioeconomic backgrounds.
- Ability to establish and follow detailed work procedures and perform mathematical computations with speed and accuracy.
- Ability to schedule workload in order to meet deadlines on a weekly basis.
- Proficiency in the use of a variety of office machines including computers with experience using Microsoft Office, email and information system applications.
- Emotionally mature, objective, and sensitive to people and their concerns. Able to handle responsibility, work independently, and maintain collaborative working relationships with administration, co‑workers, and the community. Respects the worth, dignity and individual differences of others.
- Answers and transfers phone calls, screening when necessary.
- Welcomes and directs visitors, students, and families.
- Maintains filing systems as assigned.
- Retrieves information as requested from records, email, minutes and other documents; prepares written summaries of data when needed.
- Responds to and resolves administrative inquiries and questions.
- Coordinates and schedules travel, meetings and appointments for administrative staff or supervisors.
- Prepares agendas and schedules for meetings.
- Records and distributes minutes or other records for meetings.
- Maintains office supplies and coordinates maintenance of office equipment.
- Takes all necessary and reasonable precautions to protect students, equipment, materials and facilities.
- Assumes responsibility for and participates in staff development (professional growth) and training to keep materials, supplies and skills up to date.
- Follows appropriate safety procedures and properly maintains equipment.
- Responds to telephone, email and in‑person requests, inquiries and questions in a professional, polite and responsive manner.
- Demonstrates good attendance and punctuality.
- Attends all required meetings.
- Maintains confidentiality in all matters.
- Models professional, moral and ethical standards as well as personal integrity in all interactions, including non‑discriminatory and cultural inclusion practices by respecting the worth, dignity and personal beliefs of others.
