Job description for Administrative Assistant II – Athletics. This position supports the Athletic Director, coaches, and the school community through a variety of office procedures.

Contract: 220 days

Position SummaryProvides secretarial support to the Athletic Director and coaching staff through typing, computer applications, and other administrative duties. Assists the Principal and Athletic Director in duties as Treasurer of the Valley District and Region 4A North of the Virginia High School League. Additional compensation is provided by the Valley District and Region to cover associated duties as set forth in their handbooks.
Qualifications- High school diploma or equivalent with courses in business, mathematics, and accounting; experience in general office work.
- Knowledge of clerical/accounting/database management and records management; proficiency in office procedures.
- Proficiency in spoken and written communication.
- Ability to establish and follow detailed work procedures quickly and accurately.
- Experience handling confidentiality and sensitive information.
- Emotionally mature, objective, and sensitive to diverse individuals; capable of working independently and collaboratively.
- Experience working with individuals and families from diverse racial, ethnic, and socioeconomic backgrounds.
- Familiarity with equity and inclusion frameworks and non-discriminatory practices.
- Excellent written and verbal communication skills; ability to present to diverse audiences.
- Excellent interpersonal skills.
- Proficiency with Microsoft Office, Google Workspace, and email.
- Demonstrated leadership qualities for effective interaction with students, teachers, administrators, and the community.
- Type, mail, and maintain athletic-related documents such as rosters, schedules, and reports.
- Compile and maintain eligibility lists, check athlete grades, and complete eligibility reports.
- Assist with inventories, file organization, and record-keeping.
- Request quotes or bids, and prepare purchase orders for equipment and materials.
- Arrange travel needs for athletic and academic teams and coordinate schedules with coaching staff.
- Assist with budget preparation, monitoring, and reconciliation of athletics funds.
- Produce promotional items for sports events and coordinate media guide publications.
- Coordinate with the Athletic Booster Club and manage fiscal transfers.
- Create and issue Valley District athletic passes.
- Assist with safety meeting coordination and attendance verification.
- Support ticket sales and game-day staff assignments, including schedules and financial reporting.
- Collect parking fees, issue decals, and maintain parking databases.
- Participate in staff development and training to keep skills current.
- Maintain equipment safety and fiscal procedures.
- Answer the Athletics telephone line and serve as the first point of contact.
- Respond to telephone, email, and in-person inquiries professionally and promptly.
- Participate in the monthly Main Receptionist coverage rotation.
- Demonstrate punctuality and good attendance as per schedule.
- Take industry-standard precautions to protect students, staff, and equipment.
- Maintain confidentiality where warranted.
- Comply with school policies, regulations, procedures, and the HCPS Strategic Plan.
- Perform additional duties as assigned by the supervisor.
Light work, lifting up to 25 pounds occasionally, and up to 10 pounds frequently. Regular travel within the school and interactions with students, staff, and the community. No substantial exposure to adverse environmental conditions.
EvaluationPerformance will be evaluated in accordance with school board policy and administrative regulations on the evaluation of administrative or licensed personnel.
