Any equivalent combination of education, experience and/or training sufficient to demonstrate the knowledge, skills and abilities is acceptable. High School Diploma is the minimum requirement

Physical requirements: This is operative work requiring the exertion of up to 20 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects. Regular required tasks include frequent standing or sitting for extended periods while operating scanners; repetitive hand and arm motions for scanning, sorting, and feeding documents; good manual dexterity for handling delicate or damaged paperwork;
ability to bend, reach, and move between workstations or filing areas; visual acuity for checking image quality and verifying document accuracy; comfort working in environments with paper dust or handling older records; walking to where records are located, retrieving files, and transporting files to scanning location.

Job Summary
:
Responsible for converting physical documents into quality digital files.
Essential Job Functions
- Prepares paper documents for scanning, including sorting, removing staples, and organizing batches
- Operate scanners and related imaging equipment
- Ensures high-quality digital images through careful review and rescanning when necessary
- Index, label, and upload documents into the appropriate digital systems
- Maintains file organization and follows naming and archiving protocols
- Handles confidential materials with care and complies with data-privacy guidelines
- Report equipment issues and performs basic troubleshooting such as clearing paper jams
- Retrieve physical documents and files from storage as needed
- Works independently with minimal supervision
- Ability to focus as tasks are repetitive
Knowledge
- Familiarity with digitization software or ability to quickly learn
- Familiarity with Microsoft office
Skills
- Hands-on experience with scanners, copiers, and multi-function devices
- Basic data entry experience with strong accuracy and attention to detail
Abilities
- Ability to follow workflow procedures for naming, indexing, and archiving digital files
- Ability to troubleshoot common scanning errors (image quality, misfeeds, page jams, etc.
- Ability to maintain confidentiality
- Regular work attendance is required
