Overview

The Administrative Assistant for Clinical Sciences is a full-time position responsible for providing administrative support to the Office of Clinical Sciences (OCS) and serving as the designated administrative assistant for the Associate Dean of Clinical Sciences. This role involves providing operational support, coordinating office activities, and assisting faculty and staff with various administrative tasks to contribute to the mission of the University, the College of Veterinary Medicine at Orange Park and the Office of Clinical Sciences.

Responsibilities
  • Manage daily office operations, including answering phones, responding to emails, and handling correspondence
  • Schedule and coordinate meetings, appointments, and events for the OCS
  • Maintain and organize office files, records, and databases
  • Assist with the preparation and submission of reports, grants, and other documents
  • Serve as the initial point of contact for the OCS, providing information and assistance to faculty, staff, students, and external partners
  • Facilitate communication between the OCS and other university offices and departments
  • Draft and edit correspondence, reports, and other documents as needed
  • Assist with budget monitoring, including tracking expenses, processing invoices and purchase cards
  • Coordinate office purchasing and inventory, ensuring supplies and equipment are adequately stocked
  • Assist with OCS and College events, such as Student Affairs events, seminars, workshops, and conferences
  • Assist with logistics for events, including venue booking, catering, and travel arrangements
  • Handle sensitive and confidential information with discretion in compliance with University procedures as well as state and federal regulations
  • Maintain professionalism and courtesy in all interactions and communications
  • Assist in community outreach and education programs related to veterinary medicine and animal health
  • Collaborate and foster working relationships with peers, other colleges on campus, and external partners and stakeholders to attain the College's and University goals
  • Support the Operations section with administrative tasks as needed
  • Perform related duties in support of the College's and University’s mission and evolving needs
Qualifications
  • Required Qualifications: High school diploma or equivalent
  • Preferred Qualifications: Office setting experience;
    Some college;
    Knowledge of university program goals and objectives;
    Familiarity with veterinary medical field;
    Relevant experience in higher education
