Overview

As a Scheduling Coordinator, you are responsible for scheduling patient appointments, handling phone calls, and ensuring accurate data entry in the Electronic Health Record (EHR) system. Key tasks include explaining treatments to patients, scheduling and confirming appointments, and maintaining accurate treatment plans and appointment data. The Scheduling Coordinator optimizes daily, weekly, and monthly patient schedules, discusses financial arrangements, and presents financing options.

Knowledge and compliance with CDC, HIPAA, OSHA, and other regulations is essential. Your ability to communicate effectively is crucial for collaborating with the clinic team to meet the needs of both students and patients.

Responsibilities

This position requires a working knowledge of dentistry to assist the Faculty Team Leader, student dentist and clinic faculty and staff in explaining treatments to patients.

Responsible for scheduling DMD student patient appointments. Facilitate patient check-in and check-out with front desk team and building security staff.

Handle incoming phone calls to schedule appointments, take messages for students and clinic staff and answer questions as needed. Use phone scripts provided for new patient, emergency or appointment cancellation calls.

Become proficient in using clinic EHR software.

Oversee the patient schedule to ensure efficient daily, weekly, and monthly schedule and chair utilization, following clinic scheduling guidelines.

Maintain and monitor the accuracy of EHR data, including treatment plan and appointment data entered by students.

Efficiently track daily, weekly, and monthly progress on group/student production/collection goals to maintain productive clinic operations.

Present a warm, confident, compassionate, and professional appearance and demeanor, whether on the phone or in person. Exemplify a caring attitude, cheerfulness, and eagerness to help.

Communicate directly with patients; confirm patient appointments for the next day and monitor text and email communication systems periodically throughout the day.

Speak with patients regarding financial arrangements; ensure that all patients seen have a signed treatment plan with firm financial arrangements in their EHR before scheduling the next appointment. Seek guidance from the Clinic Manager or Patient Care Coordinator if a patient is unable to pay.

Assist patients with outgoing referrals to specialists or medical professionals for treatment or consultation; coordinate care with the patient’s student dentist/Faculty Lead.

Complete Care Credit training and be prepared to present financing information to patients.

Regularly monitor open treatment per student, including past due recall, in conjunction with the Clinical Supervisor and Faculty Lead to maintain student competencies.

Display a keen ability to multi-task, be a self-starter and consistently take the initiative.

Ensure practice compliance with all CDC, HIPAA, OSHA and Fair Debt Collection Practices Act guidelines and regulations.

Follow practice protocols for patient financial arrangements and seek assistance from supervisors as needed.

Respond to patient inquiries to ensure patient satisfaction.

Collaborate with front office and clinical team to ensure student and patient requirements are met.

Review management reports to improve schedule performance.

Assist with tracking student attendance.

Actively participate in emergency protocols for codes and drills (medical, security, fire, weather, safety, etc.).

Perform other duties as assigned.

Qualifications

2 years dental office experience, or comparable healthcare or financial administration experience. High school diploma or equivalent. Must be able to lift up to 25 pounds and spend long periods of time standing or sitting.
