Resource Management Coordinator
Our Philadelphia, PA Office is seeking a Resource Management Coordinator to support the Mid-Atlantic Tax Practice. Hybrid (3 days minimum) in the Market Street office.
Essential Functions and Primary Duties- Ensure schedules are generated and updated on a regular basis to maximize efficiency of resources
- Effectively fill resource engagement requests
- Acquire a thorough knowledge of the skills of the staff and the skills required for each client
- Manage multiple demands simultaneously, providing communication in real time about progress
- Anticipate engagement conflicts and identify creative alternative solutions that prioritize engagement deadlines, maximize utilization, and minimize available hours
- Facilitate collaborative discussions regarding resource assignments, utilization analysis between resource managers and tax leaders
- Provide excellent client service by building strong relationships with managing directors, directors, managers, supervisors and staff
- Prepare and analyze reports which include requirements planning, staff availability, staff boards, utilization, realization and staffing by client among others
- Primary point of contact for unassigned staff and assisting with finding adequate work
- Data entry of staff schedules into scheduling system and approving schedule requests
- Collaborate with human resources manager and workforce planning manager to integrate new hires and current associates into appropriate engagement/project teams
- Associate degree or bachelor's degree in related field preferred
- Three to six years progressive operations/administrative experience with key experience in project management within the tax industry
- Experience supporting and/or staff scheduling in public accounting or professional services firm preferred
- Experience with Prostaff or other scheduling software systems.
- Strong metrics-focused with ability to use analytics to solve problems and develop solutions
- Proficiency in Microsoft office skills, specifically with Excel required
- Attentive to details and able to also step back and apply big picture thinking
- Strong written and verbal communication skills and be able to communicate effectively to associates of all levels
- Work well under pressure and with a team; ability to meet deadlines with accuracy
- Excellent analytical and problem-solving abilities are a must, must be organized paying close attention to detail
- Team player with desire to work in a fast-paced environment
- Flexibility and openness to work on a variety of assignments, able to multi-task and learn processes quickly and apply the knowledge
- High School diploma or GED required
- Demonstrated ability to communicate verbally and in writing throughout all levels of an organization, both internally and externally
- Proficient use of applicable technology
- Ability to work in a team environment as well as independently
