Key Responsibilities

  • Strategic Planning Support & Projects:
    Assist in development and execution of strategic initiatives, providing research, analysis and administrative support. Also complete ad hoc duties such as executive onboarding and coordinating office moves.
  • Executive Communication:
    Coordinate materials for Board, ELT, CEO, President; accountable for agenda creation, coordination and meeting facilitation of DAIO SLT bi‑weekly meetings.
  • Executive Calendar Management:
    Organize and manage complex calendars for the Chief DAIO Officer, including meeting set‑up, invitations, room reservations, technology and meeting materials; resolve potential schedule conflicts and coordinate weekend release meetings.
  • Staffing/Req Management:
    Facilitate management of talent requisitions across the organization, coordinating with hiring managers, recruiting, HRBP, Compensation and LPM; track requisition statuses and provide actionable reports.
  • Voice of Frontline, Employee & Customer Initiatives:
    Partner with Strategy Execution to schedule site visits, call listening sessions, focus groups and customer‑centric initiatives.
  • CEO | Board Level Planning:
    Plan and coordinate ELT agendas for strategic engagements including external partner meetings, Silicon Valley visits and bi‑monthly Gen AI & Transformation sessions.
  • Conference & Training Management:
    Manage external conference speaking process for the broader organization.
  • Real Estate Management:
    Partner with Strategy and Innovation team for real estate moves; act as liaison between Real Estate and leadership to plan, organize, and facilitate staff moves.
  • Stakeholder Coordination:
    Coordinate with stakeholders and executive admin staff to gather data, understand timelines and deliverables for the ELT and business leaders.
  • Operational Efficiency:
    Establish management and leader routines, track key initiatives and deadlines, and ensure timely execution, including creating weekend book materials for DAIO EVP.
  • Large‑scale Event Planning:
    Oversee venue selection, attendee lists, invitations, agendas, catering and expenses for large events.
  • Travel and Expense Management:
    Manage domestic and international travel and expenses, including bookings, itineraries and processing expense reports.
  • Standards Development and Leadership:
    Develop standards and best practices for administrative staff within Technology & Operations and serve as a role model.
  • Reporting, Presentation & Document Management:
    Maintain distribution lists, organizational charts, SharePoint site and other team documents.
  • Confidentiality and Discretion:
    Handle C‑Level matters with discretion, confidentiality and sound judgment.
  • Technology:
    Act as point of contact and resource for Microsoft Office, Workday, ARIBA, 365 and other key systems.
  • Delegation and Approval:
    Primary delegate for approving transactions and related team matters.
  • Relationship Building:
    Build rapport with functional partners including Senior Leadership Team, Finance, HR and administrative assistants.
Qualifications

Seasoned Assistant: 10+ years of corporate administrative support in a high‑visibility environment; 5+ years supporting C‑Suite/executive leaders (technology executives preferred).

Early Career/High Potential: 1–3 years of professional office experience, internships or strong campus leadership track‑record;
Bachelor’s degree preferred.

Skills:

Manage competing priorities, deliver end‑to‑end planning, advanced Microsoft Office 365 proficiency, strong organizational, written and verbal communication, confidentiality, analytical skills, resourceful team player, flexible hours.

Compensation

Annualized base pay range: $105,600 – $158,400.
