We are seeking a mature, dependable, and detail-oriented Senior Administrative Assistant to support our construction and fleet operations. This is a high‑responsibility administrative role requiring someone who can commit long-term to consistent hours and confidently manage documentation, coordination, and communication across multiple departments.
This role is ideal for someone with experience in construction, HVAC, electrical trades, transportation, municipal offices (DMV), towing, or other blue‑collar industries who understands how operational businesses run.
Construction & Operations Support- Prepare and draft project bids and administrative documentation
- Coordinate with subcontractors and issue agreements as needed
- Assist with insurance documentation, certificates, permits, and compliance verifications
- Communicate with town halls, municipalities, and government agencies
- Track and manage required certifications and regulatory paperwork
- Work closely with the Fleet Manager overseeing company vehicles
- Prepare and file proper DMV paperwork for each truck
- Maintain organized records related to fleet compliance and registrations
- Enter purchase orders and vendor bills into Quick Books
- Assist accounting when workload allows
- Maintain accurate and well‑organized administrative and financial records
- Proven administrative experience in construction, trades, transportation, or municipal environments
- Strong ability to manage deadlines, paperwork, and multiple priorities
- Comfortable drafting bids, agreements, and formal documentation
- Experience working with subcontractors and vendors
- Quick Books experience strongly preferred
- Familiarity with permits, insurance certificates, and compliance processes
- Reliable, punctual, and committed to set working hours
