Job DescriptionUnder general supervision, coordinates and performs a variety of administrative, medical secretarial and/or operational support duties for a specified physician practice/office or clinical care center. Cross‑trained in both front and back office job functions and fills‑in for any position as directed by Office Manager. Utilizes some judgement to interpret departmental policy to resolve routine to complex inquiries or problems. May also complete charge entry, batch bills on a daily basis, and the resolve a variety of related data/information issues.
Prepares a wide range of documents; composes, edits and proofreads correspondence & reports; creates and maintains spreadsheets; maintains databases and produces reports; establishes and maintains filing systems. Edits and proofreads documents to ensure accuracy. Duties require a range of skills, working knowledge of practice/office routines, an understanding of the organization, programs, billing procedures and terminology related to the physician practice/office.
Reports to an Office Manager.
- Answer telephone and triage calls for the practice/office.
- Schedule appointments via telephone or in‑person and makes calls to confirm appointments.
- Creates and inputs department/provider schedules.
- May schedule/coordinate appointments with other areas of the hospital.
- Enters routine to complex patient charges into billing system for physician or care provider visits, according to protocol.
- May batch and verify patient‑related documents & bills for accuracy, according to protocol.
- May perform a variety of administrative functions as directed by manager: coordinate travel and prepares reimbursement requests, coordinate and schedule appointments, interviews, and/or meetings for physician(s) or care provider(s); exercises discretion and judgement to coordinate calendars for multiple individuals, care providers or groups.
- Responsible for maintaining the inventory/orders for office supplies for the back office staff.
- Produce routine to complex documents, correspondence, reports utilizing multi‑functional computer skills. May be required to transcribe information.
- Complete other related job duties as required.
- May develop, adjust and ensure implementation of operational procedures within the department, shifting work flow among support staff when necessary.
- May participate in training of office staff.
- Demonstrates knowledge of the age‑related differences and needs of patients in appropriate, specific populations from neonate through adolescence and applies them to practice.
Demonstrates cultural sensitivity in all interactions with patients/families.
Demonstrates support for the mission, values and goals of the organization through behaviors that are consistent with the CCMC STANDARDS.
