Charter Oak Cultural Center is a vibrant, nonprofit, multi‐cultural arts center, doing the work of social justice through the arts.  We do this in the following ways:  By presenting professional multi-cultural arts events from which no one is turned away for lack of funds, by providing over 1,000 Hartford children with a free, high-quality arts education through our City School of the Arts and by offering three initiatives that provide educational and employment opportunities for members of the unsheltered community.

We are seeking a part-time Business Manager who is passionate about our mission and possesses the skills and experience to oversee several important aspects of our administration. The duties of this position are ideal for a resourceful, motivated, highly competent, self-directed professional.
** Key Responsibilities
**** Bookkeeping:
**** o
* * Retains detailed knowledge of the organization’s operations and programming as relates to its finances. Conveys information as needed to the Executive Director, staff and the external bookkeeping team that maintains the organization’s general ledger.o   Works in partnership with the organization’s external bookkeepers, and serves as the primary point of contact, bridging internal operations, addressing queries, clarifying discrepancies, and ensuring that agreed-upon turnaround times for reconciliations and reporting are met.o   

Organizes and codes accounts receivable and payable documentation, and transmits to external bookkeepers. Submits monthly petty cash and credit card allocations to external bookkeepers.o   Reviews bookkeeper’s input for accuracy.o   Reviews monthly reports, balance sheets, and income statements provided by the external bookkeepers to ensure accuracy.o   Assists upon request with the creation of operational and programming budgets for grants and other reporting.o   

Attends monthly Finance Committee and Board meetings (held remotely).o   Coordinates with external bookkeepers and auditors to produce annual audit and tax return (990). Provides requested information within established deadlines, and tracks audit and 990 progress from start to completion.o   Researches information and produces reports in Quick Books Online (QBO).o   Maintains a digital filing system for financial documentation.
** Data Management:
** o   Maintains the organization’s CRM (Donor Perfect), ensuring clean data for donor acknowledgments,  fundraising campaigns and financial reporting, and adhering to consistent coding structures. Works with external database expert improve CRM functioning.o   Enters and codes donations, matching gifts, pledges, purchases, etc. and produces donor acknowledgements.o   Updates donor records with current contact and other relevant information.o   Generates reports upon request with analysis of giving history and campaign performance results.
** Business Operations:
** o   Responsible for submitting annual business filings and license renewals.o   Coordinates with insurance agents and Executive Director on insurance renewals and other matters, and maintains knowledge of the organization’s coverage needs.o   Assists upon request with the finance and bookkeeping aspects of the organization’s renovation of its two historic buildings.
** Competencies**+
A strong understanding of nonprofit accounting, including restricted vs. unrestricted funds, and accounts receivable and payable.+
Experience coding invoices and managing expense approvals.+
Experience building or assisting with operational budgets, specifically tracking how money is spent against specific grants or program restrictions.+
Experience acting as the main point of contact between an internal team and a third-party vendor or agency.+
Ability to thoroughly review balance sheets and income statements to verify that the external bookkeeping team has categorized everything correctly.+
