About this role

This role is critical to GRB as it provides the operational backbone for flagship events, ensuring disciplined execution, accountability, and timely delivery across complex, multi‑stakeholder environments. It enables data‑driven decision‑making and continuous improvement, translating insights from planning cycles and retrospectives into tangible enhancements in meeting effectiveness. By integrating structured program management with emerging tools such as AI, this role helps GRB scale meeting excellence, improve member experience, and increase overall impact.

Key Responsibilities
  • Maintain and own project plans as the single source of truth for all meeting‑planning activities, ensuring accurate tracking of progress, dependencies, risks, and decisions.
  • Lead structured kickoff calls (≥16 weeks prior to event start) to align stakeholders on scope, roles, timelines, and success criteria.
  • Lead weekly and bi‑weekly project stand‑up meetings that foster cross‑functional collaboration, align stakeholders on upcoming activities, and drive timely completion of project milestones and deliverables.
  • Compile and synthesize post‑event feedback from members and associates into a comprehensive retrospective deliverable, enabling teams to evaluate outcomes and inform future meeting improvements.
  • Proactively identify and elevate risks (e.g., missed deadlines, resource constraints, execution gaps) to ensure timely visibility and mitigation.
  • Drive accountability by clearly mapping tasks, ownership, and expectations across all planning stakeholders.
  • Take ownership of segments within Drive to 75 calls, strengthening team alignment, accountability, and execution discipline.
  • Continuously enhance project management capability through formal training, certifications, and applied learning aligned to business needs.
  • Executing Innovation in GRB Meeting Structure and Management
    • Identify patterns, strengths, and improvement opportunities across GRB meeting types by synthesizing insights from planning cycles and event outcomes.
    • Reinforce established best practices while proactively flagging gaps or areas requiring clarification to improve consistency and execution quality.
    • Partner closely with stakeholders and planning teams to gather structured feedback on pain points and opportunities for process refinement.
    • Pilot and refine new workflows, templates, and meeting frameworks to improve preparation quality, decision‑making, and operational efficiency.
    • Leverage approved tools and AI capabilities (e.g., Copilot for meeting notes) to enhance documentation accuracy, collaboration, and productivity; develop standardized prompts to support retrospective analysis and deck creation.
    • Track outcomes, measure impact, and share actionable recommendations to sustain continuous improvement and meeting excellence.
Professional Skills & Competencies Requirements
  • 3+ years of relevant experience in service, operations, or program management roles
  • Demonstrated ability to build strong relationships and influence across a matrixed organization, partnering effectively with multiple teams and leaders
  • Excellent written and verbal communication skills, with experience creating executive‑ready presentations and updates
  • Strong organizational and prioritization skills, with the ability to manage multiple concurrent work streams and complex details
