About Athena Advocacy

Athena Advocacy is a multi-generational fiduciary practice that stands with people through the complexities of later life. We hold the legal, financial, and personal pieces of a life together when no single system was built to do it.

We work from a simple conviction: a life is not three separate problems to be handed off to three separate specialists. So we do the whole work. We spend the time to actually know the person behind the case. We move at the speed of the situation, act as the neutral and strong center when families are stretched or in conflict, and protect our clients' independence and dignity for as long as possible.

Athena Advocacy is built for practitioners who want the whole picture in their hands, the legal, financial, and the human complexity treated as one piece of work, because that’s what it is. You will use everything you know. You will answer the client, not to a department. And when something needs to be done, you will be the one to do it.

If that sounds like the practice you’ve been looking for, let’s talk.

Position Overview

We are seeking an exceptionally detail-oriented, proactive, and highly organized Administrative Assistant to provide direct support to our Principal and play a key role in ensuring the smooth operation of Athena’s administrative, communications, and organizational systems. This role requires exceptional judgment, professionalism, and discretion, as you will handle sensitive information and represent Athena to a wide range of internal and external partners.

The ideal candidate is a natural problem solver who anticipates needs, stays three steps ahead, and thrives in a dynamic mission driven environment.

Key Responsibilities
  • Serve as the Principal’s in-office primary point of contact, often handling confidential and time-sensitive matters.
  • Manage all incoming correspondence and mail and distribute it to the team weekly.
  • Manage all outgoing correspondence, digital and physical.
  • Complete necessary out-of-office tasks as needed.
  • Manage complex calendars, prioritize and schedule meetings, and prepare supporting materials.
  • Prepare and send correspondence to partners, vendors, clients, and families.
  • Coordinate travel, events, and meeting logistics, ensuring smooth execution and timely follow-up.
  • Draft and manage correspondence, reminders, and background research on behalf of the Principal.
  • Support internal and external presentations, communications, and speaking engagements.
  • Maintain contact databases, records, and key organizational documents.
  • Provide administrative support to the Principal and across Athena’s departments as needed.
Qualifications
  • Associate’s or Bachelor’s degree (or equivalent combination of education and experience).
  • Minimum of 3 years of office administrative experience.
  • Outstanding organizational and communication skills—both written and verbal.
  • Exceptionally detail-oriented with the ability to complete tasks with consistent accuracy and nuance.
  • High proficiency with Microsoft 365, Outlook, Excel, PowerPoint, and Zoom.
  • Experience with Kofax and Salesforce preferred.
  • Proven ability to manage multiple priorities, meet deadlines, and work independently.
  • Demonstrated discretion in handling confidential information and professionalism in representing leadership.
  • A collaborative spirit and commitment to equity, inclusion, and service.
Why Join Athena Advocacy
  • To make a real difference. We are a mission-driven organization creating systems that support inclusion and dignity.
  • Work without walls. You will use everything you know. You answer to the client, not a department.
  • When something needs to be done, you will be the one to do it. Responsibility and initiative are required.
  • Enjoy a flexible, supportive work environment that values growth and balance.
