Job Description
The Shipping/Receiving Administrative Assistant is responsible for coordinating and supporting daily shipping and receiving operations to ensure timely and accurate movement of products.
Responsibilities- Responsible for the required documentation for all inbound and outbound transportation.
- Organize daily pickups to meet Customer’s delivery schedule.
- Coordinate with Production, Customer Service, and Transportation (fleet and common carrier) to ensure timely transportation that meets our customer’s required delivery.
- Maintains documentation (files) that meet Federal and State DOT requirements.
- Works closely in support of Production, Customer Service, and Transportation (fleet and common carrier)
- Generates Bill of Ladings and other required documentation for all outbound shipments.
- Generates Bill of Ladings and other required documentation for inbound shipments when needed to receive the shipments.
- Follows daily shipping schedule for accuracy and timelines.
- Submits Bill of Ladings and other required documentation into system to generate invoices.
- Process heavy inbound units to return to customers.
- Maintain several tracking spreadsheets (forklift inspections, yard check, heavies, plant KPI’s, daily schedule, shipping log, etc.)
- Check in inbound drivers confirm they have corrected paperwork and direct them where to wait for unloading. Direct the driver to the proper dock when available for unloading.
- Receive all office and maintenance supplies, contact dept to retrieve their deliveries.
- Participate in physical inventories
- High school diploma or equivalent required. Associate or Bachelor’s degree preferred.
- 1- 3 years previous experience of inventory, warehouse, and receiving experience.
- Ability to take initiative and work independently towards a defined goal
- Communication skills are necessary to coordinate activities among various parties, including internal and external customers and vendors.
- Ability to read, write, speak and comprehend English. Bilingual Spanish/English a plus.
- Ability to travel between plants is needed to perform role.
- Proficient skills in Microsoft Office, Excel, Word, Teams and Outlook email.
- The ability to be on your feet for up to 8 hours or more.
- Use of hands and fingers to perform job function.
- Ability to lift to 55lbs.
- While performing the duties of this job, the individual is occasionally exposed to fumes or airborne particles and outside weather conditions.
- Ability to work in a non-climate-controlled environment, 90 plus degrees.
- The noise level in the work environment is usually loud.
- The ability to follow and wear Mauser’s required personal protective equipment; safety glasses, hard hat, earplugs, gloves, and any other necessary items based on assigned task.
The salary range for this position is $47K-53K. The exact salary offered will depend on the selected candidate's experience, skills, etc.
