Child & Family Focus, Inc. in Hatboro, PA is seeking a Part Time Mental Health Office Assistant for our Psychiatric Outpatient Services. This office‑based, trauma‑informed program provides comprehensive outpatient treatment for children & adolescents (ages 3‑18) and transitional‑aged adults (ages 18‑26).

Position Summary

Working under the Outpatient Director, this position aids in the coordination of services for the Outpatient clients and office. The primary responsibility is to provide support to the Psychiatrist, CRNPs, Therapists, program staff and clients. The position also provides some administrative case‑management services for OP clients. This role requires a reliable, organized, detail‑oriented individual with strong communication skills. It is a part‑time position.

Responsibilities
  • Support/assist the psychiatrist and CRNPs and manage medical staff schedules.
  • Greet, assist, and direct all patients and visitors.
  • Collect patient responsibilities including copayments, deductibles, new insurance information, and any additional balances owed.
  • Respond to incoming reception desk telephone calls as needed, including scheduling of appointments, new referrals, and case‑management requests.
  • Provide administrative support to the department by aiding in verification of eligibility, clerical work and charting, assisting with uploads, and ensuring a clean workspace.
  • Assist with med billing process and insurance rejections.
  • Manage copay collections and reports, ensuring clients’ copays are collected prior to scheduling any additional appointments.
  • Manage incoming mail for the program and prepare outgoing mail for psychiatric providers.
  • Coordinate and assist clients with pharmaceutical needs.
  • Track on‑site medications and file in med cabinet.
  • Ensure client charts via EMR comply with program regulations and agency standards, including daily session verifications and consents for treatment.
  • Assist with audit prep and client discharges as needed.
  • Track and input metabolic data in EMR.
  • Other administrative duties as assigned.
  • Assist OP clients with ACM needs and document accordingly to submit ACM billing.
    • Help clients apply for MA benefits or renewal applications.
    • Assist clients with other resources or referrals.
    • Connect clients with discharge resources.
Required Qualifications
  • Bachelor’s Degree in social work, psychology, or a related field.
Preferred Qualifications
  • One or more years of experience working in a doctor’s office or community mental health setting.
  • One or more years of experience working with children and families.
Work Environment
  • Standard office environment.
  • 24 hours per week, with the ability to work the hours of 12 pm–8 pm three days per week.

  • $17 an hour
