Job Summary
The Administrative Specialist provides comprehensive administrative support to Mississippi INBRE program administrators, faculty, staff, and students. This position serves as the primary point of contact for internal and external stakeholders-including the public, university community, and educational institutions throughout Mississippi-and plays a critical role in ensuring the effective daily operations and outreach activities of the Program. This role requires a highly organized, professional, and service-oriented individual who can manage multiple priorities, maintain confidentiality, and contribute to the overall success and visibility of Mississippi INBRE.

Job Duties and Responsibilities
* Provide administrative support to Program administrators and staff, including calendar management, scheduling, correspondence, document preparation, and general office support.
* Serve as a liaison between the Program and faculty, staff, students, partner institutions, and external contacts to facilitate effective communication and coordination.
* Prepare, process, and maintain Program documentation, including forms, records, and files, ensuring accuracy, organization, and compliance with institutional requirements.
* Coordinate Program-sponsored events and activities, both on-site and off-site, including logistical support for meetings, workshops, conferences, outreach activities, and associated travel arrangements.
* Prepare and process purchasing and travel documents and transactions, including requisitions, travel authorizations, reimbursements, and related tracking in accordance with university and grant guidelines; maintain inventory of Program promotional materials and supplies.
* Support Program communications and outreach efforts by assisting with maintenance of the Program's website, social media accounts, and public-facing materials, and by developing and updating promotional and public relations documents.
* Perform other related duties as assigned to support the mission and objectives of Mississippi INBRE.
Minimum Qualifications
Associate degree in Business or Office Administration or equivalent; and two (2) years of related experience; or Bachelor's degree from an accredited college or university in Business Administration, Public Administration, Management, or equivalent field.
Knowledge, Skills, and Abilities (KSA)
* Proficiency in Microsoft Office applications, including the ability to prepare routine correspondence and reports.
* Excellent organizational, interpersonal, oral, and written communication skills.
* Demonstrated ability to maintain cooperative and professional working relationships.
* Ability to exercise sound judgment, discretion, and confidentiality when handling sensitive information.
* Strong attention to detail and ability to manage multiple tasks simultaneously.
