Job Description:
The Receptionist is a key position at Long Island Cares, Inc. and serves as the first point of contact in the organization’s CCE building. This role is responsible for greeting visitors, volunteers, and donors; answering and directing phone calls; and supporting general office operations. The Receptionist provides administrative assistance across departments, including support to the CEO, HR and Leadership team as needed, and helps ensure the office runs smoothly and professionally.
This is a full-time, in-office position, Monday through Friday, 8:00 a.m. to 4:00 p.m. (40 hours per week).
Essential Functions:
- Serve as the primary front desk presence for the CCE building, acting as the first point of contact for staff, volunteers, guests, and visitors.
- Greet and assist volunteers, guests, donors, and visitors in a professional and welcoming manner.
- Answer, screen, and direct incoming phone calls promptly and courteously.
- Provide clerical and administrative support to all departments and leadership as needed.
- Assist with volunteer check-ins and respond to general volunteer inquiries.
- Assist the Mobile Outreach Department with phone calls, ordering, speaking with neighbors, and data entry.
- Perform basic data entry and administrative tasks accurately and efficiently.
- Order, receive, and maintain office and reception supplies.
- Handle incoming and outgoing mail, packages, and deliveries.
- Assist with meeting and event preparation, including setup and breakdown, and provide audio/visual support for meetings, events, and board meetings, including equipment setup, monitoring, and troubleshooting; occasional evening hours may be required.
- Maintain a clean, organized, and professional reception and common office area.
- Secure and lock the building at the end of the day when serving as the last employee on-site.
- Perform other duties as assigned to support daily office operations.
- Occasional early-morning availability may be required based on operational needs.
Required Skills & Abilities:
- Strong communication and interpersonal skills.
- Basic computer proficiency (Microsoft Office Suite necessary).
- Ability to multitask and prioritize in a fast-paced environment.
- Positive attitude and willingness to assist wherever needed.
- Bilingual (English/Spanish) is a plus.
Education & Experience:
- High school diploma or equivalent required.
- Receptionist experience or 1-2 years of related experience in an office setting.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift to 20 pounds at times.
