We are seeking an experienced Payroll Specialist to play a key role in managing end-to-end payroll operations while maintaining compliance with payroll regulations and company policies. This position is ideal for a detail-oriented professional who thrives in a fast-paced environment and has a strong understanding of payroll processes, tax requirements, reporting, and employee record administration.
Key Responsibilities- Process payroll accurately and on schedule across various pay cycles, including weekly, bi-weekly, semi-monthly, and monthly payrolls.
- Review and validate employee time records, earnings, incentives, deductions, adjustments, and other payroll-related transactions.
- Maintain and update employee payroll data, including new hires, terminations, transfers, promotions, compensation changes, and status updates.
- Ensure accurate administration of payroll taxes, benefits deductions, garnishments, leave balances, and other with holdings.
- Reconcile payroll information and perform audits to ensure accuracy prior to payroll finalization.
- Investigate and resolve payroll discrepancies, employee inquiries, and related issues in a timely manner.
- Collaborate with HR, Finance, and business stakeholders to support payroll accuracy and compliance.
- Support payroll administration across multiple jurisdictions and regulatory environments.
- Assist with quarterly and year-end payroll activities, reconciliations, tax reporting, and employee tax documentation.
- Maintain compliance with applicable wage, tax, and labor regulations.
- Support payroll audits and provide required documentation when needed.
- Stay informed about changes in payroll legislation, tax requirements, and industry best practices.
- Recommend and implement process improvements to enhance payroll efficiency, controls, and reporting.
- Assist with timekeeping administration, reconciliation activities, and payroll-related projects.
- Safeguard confidential employee and compensation information at all times.
- Minimum of 3 years of payroll processing experience.
- Strong understanding of payroll taxation, wage and hour regulations, deductions, garnishments, and compliance requirements.
- Experience working with payroll or HRIS platforms.
- Advanced Microsoft Excel skills with the ability to analyze data and generate reports.
- Exceptional attention to detail and high levels of accuracy.
- Strong analytical, organizational, and problem-solving skills.
- Ability to manage multiple priorities while meeting strict payroll deadlines.
- Excellent written and verbal communication skills.
- Demonstrated ability to handle sensitive and confidential information with professionalism.
- Experience processing payroll across multiple states or jurisdictions.
- Associate's or Bachelor's degree in Accounting, Finance, Human Resources, Business Administration, or a related discipline.
- Payroll certification such as FPC or CPP.
- Experience supporting payroll audits, reconciliations, and year-end payroll reporting.
