We are seeking a detail-driven Billing Specialist to support our construction operations with a strong focus on data entry and invoice processing. This role is responsible for ensuring accurate billing for projects, maintaining financial records, and supporting administrative workflows in a fast-paced construction environment.
Key Responsibilities Billing & Accounts Duties- Prepare and submit client invoices, including progress billing and time & materials billing
- Review contracts, purchase orders, and job cost data to ensure accurate billing
- Track project costs, change orders, and billing schedules
- Reconcile accounts and follow up on outstanding invoices
- Assist with accounts receivable and resolve billing discrepancies
- Accurately enter job data, invoices, and financial information into accounting systems
- Maintain up-to-date records of project billing, vendor invoices, and payments
- Audit data for accuracy and correct errors as needed
- Generate billing and financial reports for project managers and leadership
- File and organize documents such as contracts, invoices, and lien waivers
- High School Diploma or GED required;
Associate’s degree in Accounting or related field preferred - 1–3 years of billing, accounting, or data entry experience (construction industry preferred)
- Familiarity with construction billing processes (AIA billing, job costing, or progress billing is a plus)
- Strong data entry accuracy and attention to detail
- Proficiency in accounting software (e.g., Quick Books, Sage, or similar) and Microsoft Excel
- Understanding of construction documents such as contracts and change orders
- Ability to manage multiple projects and deadlines simultaneously
- Strong communication and organizational skills
- Ability to handle confidential financial information with discretion
