Position: MAUNA KEA STEWARDSHIP AND OVERSIGHT AUTHORITY, EXECUTIVE ASSISTANT

Recruitment Information

This posting is for the State of Hawai'i, Department of Land and Natural Resources, Mauna Kea Stewardship and Oversight Authority. The position serves as the Executive Assistant and reports to the Executive Director of the Authority. Salary:
Minimum $65,000.00 - $70,000 annually. This position is a non-civil service exempt position.

Duties Summary

The role assists MKSOA in managing resources and assets of approximately 11,378 acres on Mauna Kea, under lease or easement between the Board of Land and Natural Resources and the University of Hawai'i. The assistant provides administrative support at the MKSOA Office on Hawai'i Island, and may be required to travel to other islands for occasional work including overnight stays. This position also performs other duties as assigned.

Minimum Qualification Requirements

Citizenship Requirement: Applicants must be citizens, permanent resident aliens, or nationals of the United States. Non-citizens with unrestricted employment authorization may also apply.

Qualifications:

  • General administrative practices common to business, government, academic or non-profit organizations.
  • Proficiency in word processing, database, spreadsheets, video conferencing, general office procedures, secretarial principles, filing, computers, standard office equipment, and fundamental archiving and curating principles.

Skill/Ability to:

  • Strong written and oral communication; ability to plan, organize, execute projects; write minutes, memos, summaries, reports; answer inquiries; handle interruptions and changing requirements; deal tactfully with staff and public.
  • Proficiency using MS Office Suite, Google-based applications, and video conferencing tools such as MS Teams, Google Meets, Zoom.
  • Follow oral and written instructions, be self-motivated; analyze and interpret common legal documents; respond to inquiries or complaints; define problems, collect data, establish facts, draw valid conclusions.

Recommended

Education and Experience:

  • Bachelor’s degree from an accredited four-year college or university.
  • Three years of general office management work, handling information, using word processing skills.

The education or experience must demonstrate clear and comprehensive reporting, reading of complex material, and logical problem solving.

Substitution of Experience for Basic Education Requirement: General office management and administrative work may substitute for education on a year-for-year basis if the experience is of comparable scope, level, and quality to a four-year bachelor’s degree.

Desirable

Qualifications:

A general understanding of Mauna Kea’s geography, significance to Native Hawaiians, history of scientific research, conservation, land management, traditional practices, recreation, and business. Working knowledge of Hawaiian history, language, cultural traditions, environmental conservation, planning, development, astronomy, archaeology, ecology, geosciences, government operations, and business.

License Requirement: Valid license, type 3 or higher, to drive in the State of Hawaii.

Quality of

Experience:

Years of experience alone are insufficient; overall experience must demonstrate the ability to perform the duties of this position.

Physical and Medical Requirements: Ability to perform essential functions safely, travel on short notice, use 4-wheel vehicles, work at high elevations (9,000 to 13,500 feet), and in outdoor field conditions. Other Information

This position is exempt from civil service and considered temporary. Employment is at-will and may be terminated at the discretion of the department head or designee at any time.
