Office Assistant III

Salary: $3,266.00 per month

Responsibilities
  • Creates, edits, prints, stores, retrieves, and deletes documents using word processing and other software.
  • Prepares, reviews, and processes forms, records, reports, and applications for accuracy and conformance to established requirements.
  • Checks records and forms for completeness and accuracy; evaluates information for conformance with standards and processes documents accordingly.
  • Searches paper and electronic files, extracts, compiles, and summarizes information to prepare periodic and special reports.
  • Composes routine correspondence and letters of acknowledgement.
  • Sets up and maintains paper and electronic files and revises filing systems as necessary.
  • Provides general information and resolves complaints in person or over the telephone according to rules, regulations, policies, and procedures.
  • Determines the need for and makes routine orders for necessary supplies, materials, or other items.
  • Makes arrangements for travel, equipment maintenance, telephone service, and other similar matters.
  • Provides training, guidance, assigns tasks, reviews, and evaluates the work of clerical subordinates comparable to the class Office Assistant II.
Minimum Qualifications

Experience Requirements

  • Basic

    Experience:

    Demonstrated knowledge of English grammar, spelling, arithmetic; ability to read and follow instructions; write clearly and directly; compare words and numbers quickly and accurately.
  • Clerical

    Experience:

    Demonstrated knowledge of office practices and procedures, ability to carry out procedures in clerical work systems, operate various kinds of office equipment and technologies.
  • Supervisory Aptitude:
    Required for supervisory responsibilities; demonstrated through successful completion of supervisory assignments, training courses, or positive performance appraisals.
Keyboarding/Computer Skill Requirement

Some positions require keyboarding proficiency (40 net words per minute) and/or ability to use computers and word processing software.

Substitutions Allowed
  • Graduation from high school or equivalent may substitute for Basic Experience.
  • Excess Clerical Experience may substitute for Basic Experience.
  • Completion of a full‑time clerical/office support or business technology curriculum at an accredited community college providing 15 semester credits may substitute for the required Clerical Experience (up to 2 years).
  • Completion of a baccalaureate program at an accredited college or university providing 15 semester credits may substitute for Clerical Experience (up to 2 years).
Quality of Experience

Possession of the required number of years of experience does not automatically qualify; overall experience must demonstrate the ability to perform duties of the position.

First paycheck within three pay periods of start date; payday on the 5th and 20th of each month.
