Office Administrator/ Coordinator
Job Summary
Supports educational and community‑based activities and ensures learning spaces are prepared, accessible, and responsive to facility needs. Provides logistical, administrative, and on‑site support to coordinators, instructors, and participants to ensure smooth program delivery and positive participant experiences grounded in community values and regional cultural awareness. Participates in required training, follows established policies, and supports operational readiness to maintain safe, well‑managed learning environments.
Essential ResponsibilitiesContributes to successful educational and community‑based activities by maintaining clean, organized, and professional environments and supporting positive participant experiences.
- Support the coordination of events, programs, and activities by assisting with schedules, space usage, on‑site operations, adhering to policies and safety procedures.
- Prepares, reconfigures, and secures learning and event spaces to support programs and activities, providing logistical coordination in accordance with established facility use procedures.
- Participates in planning, training, and operational readiness activities in alignment with established procedures, practices, and safety standards.
- Provides general clerical and administrative assistance, including preparation and distribution of materials related to programs or activities as needed.
- Assists all visitors with professionalism, using regional historical and cultural knowledge to deliver welcoming, informative, and meaningful experiences.
Minimum Qualifications
- High school diploma or equivalent.
- Minimum 2 years experience in a related field, such as customer service or visitor services.
- Excellent customer service and interpersonal skills.
- Strong verbal and non‑verbal communication skills with the ability to communicate clearly, professionally, and appropriately with diverse visitors and staff.
- Good organizational skills and strong attention to detail.
- Ability to communicate verbally in English and Hawaiian.
- Proficient in Microsoft Office applications, including Word and Excel.
- Good working knowledge of KS operations, mission, goals and objectives.
- Experience in working with general public.
- Able to work days, evenings, and weekends.
Frequently sit, perform desk based computer tasks and grasp light/fine manipulation.
Frequently stand/walk, write by hand, and lift/carry/push/pull objects that weigh up to 20 pounds.
Frequently twist/bend/stoop/squat, kneel, crawl, climb, reach/work about shoulder, grasp forcefully.
Working ConditionsWork is conducted in an office environment but the purpose of the work may require work to be conducted in non‑standard workplaces.
Work is typically conducted Monday through Friday between 7 a.m. and 6 p.m. but evening and weekend hours may be required to meet goals and objectives.
