Administrative Clerk - Construction & Skilled Trades
We are seeking a detail-oriented and organized Administrative Clerk to join our dynamic construction team. This position plays a vital role in supporting our daily operations by maintaining accurate records, coordinating communications, and ensuring smooth administrative processes across multiple construction projects. The ideal candidate will thrive in a fast-paced environment and possess strong organizational skills with the ability to manage multiple priorities effectively.
Responsibilities- Process and maintain construction project documentation, including contracts, permits, and compliance records
- Coordinate communication between field personnel, subcontractors, vendors, and management
- Assist with preparing and distributing daily reports, timesheets, and project updates
- Manage filing systems for both physical and digital documents related to construction projects
- Schedule meetings, site visits, and coordinate logistics for project teams
- Answer and direct phone calls, emails, and other correspondence in a professional manner
- Maintain inventory of office supplies and order materials as needed
Assist with data entry and updating project management software systems - Prepare correspondence, memos, and reports as requested by management
- Track and monitor project deadlines and deliverables
- Coordinate equipment rentals and material deliveries with vendors
- Assist in preparing bid documents and proposal packages
- Maintain confidentiality of sensitive company and project information
- Minimum 1 year of administrative or clerical experience, preferably in construction or related industry
- Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook
- Experience with construction management software or willingness to learn
- Strong written and verbal communication skills
- Excellent organizational abilities with keen attention to detail
- Ability to prioritize tasks and manage time effectively in a deadline-driven environment
- Professional demeanor and customer service orientation
- Capability to work independently with minimal supervision
- Strong problem-solving skills and proactive approach to challenges
- Ability to maintain accuracy while working under pressure
- Familiarity with construction terminology and processes preferred
- Valid driver's license and reliable transportation for occasional site visits
- Ability to lift up to 25 pounds occasionally
