Position Summary

Under the supervision of the Director of Operations, the Executive Assistant – HR Management oversees and manages core HR and administrative functions for the organization, including recruitment, onboarding, HR data and systems, compliance, and employee relations, while providing direct support to executive leadership. The role is responsible for implementing and maintaining HR systems (HRIS), ensuring accurate employee records, streamlined processes, and effective reporting that support leadership decision-making.

The Executive Assistant – HR Management develops and administers HR policies and procedures, supports employee engagement and retention efforts, and serves as a partner to executive leadership on performance management, workforce planning, and organizational planning needs in alignment with the organization’s mission.

Essential Duties & Responsibilities
  • Manage full-cycle recruitment, including job postings, screening, interviewing coordination, offers, and onboarding.
  • Maintain and administer HRIS and personnel files, ensuring data accuracy, security, and compliance.
  • Serve as the primary HR liaison to the organization’s Professional Employer Organization (PEO), coordinating onboarding, benefits, HR data, and compliance needs.
  • Collaborate with administrative staff, program supervisors, and other departments to address HR needs, coordinate staffing, and support cross‑functional initiatives.
  • Develop, update, and communicate HR policies, procedures, and employee handbook content in line with employment law and organizational values.
  • Provide guidance to supervisors on employee relations issues, including documentation, corrective action, and conflict resolution.
  • Monitor compliance with mandatory training, certifications, and documentation requirements.
  • Generate HR reports and metrics (e.g., turnover, vacancies, headcount) to inform leadership decisions.
  • Help plan and implement employee engagement and well‑being initiatives, staff feedback processes, and recognition efforts.
  • Participate in organizational planning, evaluation meetings, staff trainings, and cross‑functional initiatives to represent HR needs, workforce impacts, and support the organizational mission.
  • Facilitate performance management processes, including goal setting, annual reviews, and professional development planning for staff.
  • Oversee offboarding processes, including exit interviews, final payroll coordination with PEO, and knowledge transfer to ensure smooth transitions.
General Expectations and Responsibilities
  • Maintain a professional, respectful demeanor and deliver all HR services with high customer focus, adhering to organizational policies, procedures, and leadership direction.
  • Document all HR activities, employee data, and interactions promptly and accurately in HRIS systems and shared drives.
  • Update shared calendars, schedules, and project trackers to ensure seamless coordination with leadership and teams.
  • Stay current on HR trends, compliance updates, and PEO communications through proactive learning and vendor collaboration.
  • Support and collaborate with Executive Assistants and cross‑functional teams in the planning, coordination, and execution of events, meetings, and organizational initiatives.
  • Attend / facilitate staff meetings, training, and organizational evaluation sessions as required.
  • Other duties as assigned.
Supervisory Responsibilities

The Executive Assistant – HR Management primarily provides administrative and organizational support to high-level executives, with a focus on operational efficiency. When explicitly assigned, the role may provide direction or limited oversight to HR administrative staff, interns, or volunteers, while maintaining primary responsibility for managing HR‑related systems, processes, and compliance.
