Job Summary

This position serves as an Executive Assistant to the Board of Trustees, performs administrative assistance duties of a highly responsible, confidential, and sensitive nature for members of the Board of Trustees and/or Administrators in the Superintendent’s Office. Work assignments require the incumbent to use a high degree of independence, discretion, and tact, and exercise sound judgment; also assists in providing administrative support to members of the Board of Trustees.

This position is required to work two Tuesday evenings a month for Board Meetings, as well as special meetings scheduled as needed.

Requirements / Qualifications

THE POSITION:
Under the direction of the assigned administrator, performs complex and responsible high-level administrative assistant duties in a variety of administrative tasks and functions; interprets policies and regulations to staff and the public; plans, coordinates and organizes office activities and flow of communications and information for the assigned administrator. This position requires thorough knowledge of organizational operations, policies and procedures, and ability to provide complex and technical administrative support to a diverse group of public and county official representatives.

This position will coordinate and organize office activities and the flow of communications and information, while maintaining confidentiality and professionalism. This position may report to the Board of Education, Administrator in Business Services, Administrator in District Business Advisory Services, Administrator in Human Resources, or Administrator in the Superintendent's Office.

Typical Duties

Performs complex and responsible high-level duties as an executive assistant; plans, coordinates, and organizes office and department activities; acts as a liaison and provides support to County staff, CBO's, school districts, public agencies, and the general public; composes correspondence independently on a variety of matters; compiles and develops correspondence, forms, reports, contracts, packets, statistical data, memoranda, bulletins, newsletters, notices, vouchers, lists, and other materials as directed;

prepares, formats, edits, proofreads, and revises written materials. Provides advanced calendar management, prioritizes inquiries and requests while troubleshooting conflicts; makes judgements and recommendations to ensure smooth day-to-day engagements. Provides a "gatekeeper" and "gateway" role, providing a bridge for smooth communication between assigned administrator or the Board and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team.

Researches and compiles a variety of information; computes statistical information for various federal, state and local grant reporting; processes and evaluates a variety of forms and applications related to department programs.
