Rodan Builders, Inc. seeks a dedicated Field Administrative Coordinator for a full-time, on-site role in Hayward, CA. The Coordinator will oversee daily administrative tasks, provide exceptional support and report to the General Superintendent. Primary responsibilities will include managing schedules, assisting with finance-related tasks, facilitating communications between teams, and ensuring client satisfaction through effective customer service. This role supports on-site operations to ensure project goals are achieved effectively and on time.
This role focuses on scheduling, communication, documentation, and logistical support for field leadership and crews.
- Manage the General Superintendent’s calendar, scheduling meetings, trainings, and site-related commitments
- Prepare agendas, take meeting notes, and distribute follow-ups
- Serve as the primary administrative point of contact for field-related communications
- Schedule performance reviews, safety meetings, superintendent meetings, and quarterly meetings.
- Assist with job site manpower tracking for reporting purposes (non-supervisory)
- Communicate schedules, reminders, and updates via email, phone, and text
- Request and coordinate IT assets (laptops, phones, iPads, hotspots).
- Coordinate job site lunches and miscellaneous requests as needed.
- Coordinate safety and leadership training with union representatives.
- Act as liaison between union and employee on travel arrangement matters as needed
- Request layoff checks and coordinate distribution.
- Assist with timecard collection and follow up with superintendents to support payroll accuracy
- Minimum of 2 years of administrative experience preferred, ideally within the construction or field operations environment.
- Self-started with the ability to work independently, take initiative, and anticipate administrative needs without constant direction.
- Highly proactive and able to self-motivate in an environment with changing workloads, independently identifies opportunities to assist other teams to remain productive and add value.
- Highly organized, dependable, and demonstrated ability to manage multiple priorities and follow through on tasks
- A strong and professional personality with the ability to build trust and positive relationships with field employees and leadership.
- Ability and willingness to travel to job sites; reliable transportation required.
- Bilingual communication skills preferred.
- Proficient in basic technology and office systems; ability to learn new tools as needed.
- Some college coursework is preferred.
- Availability to work an early schedule, typically 6:00 AM – 3:00 PM.
