The Administrative Assistant will be responsible for overall office maintenance and serve as the first point of contact for clients.
Primary Responsibilities- Order office supplies and equipment for both office and field
- Ensure printers and copiers are running properly (schedule for repairs as needed)
- Create and maintain new and current client accounts, verifying billing and contact information is accurate
- Review project intake forms for accuracy
- Schedule new projects and communicate to staff regarding updates, adding updates to Google calendars
- Distribute purchase orders to all staff involved in projects
- Create an electronic file for each project in local network drive then save all correspondences
- Answer incoming office calls, documenting all calls
- Manage and schedule employee certifications, training and annual medical evaluations
- Prepare and send packages for US mail, Fed Ex or UPS
- Assist with preparation of presentations or courses taught by staff; i.e. making copies, packets, ordering supplies and/or preparing conference rooms
- Collect and track expense reports. Send list to accounting each Monday
- Collaborate with insurance company (Hefferman) to supply certification request
- Keep office clean and organized at all times. This includes storage rooms, hallways, warehouses and bathrooms, etc.
- Distribute birthday cards and monthly cake celebrations (optional) by office for coworkers
- Plan events for the office, including employee recognition events, retirement, new baby, milestone anniversaries, annual holiday parties, summer BBQ events. Act as a committee member for the larger office events
- Book hotel and travel reservations for employees for projects and events. Using corporate credit card or own (expensing charges)
- Assist Human Resources with new hire onboarding tasks
- Train new employees on selected tasks as needed
- Ensure recycling efforts are made by office staff and contact city for pick up
- Maintain storage and warehouse making sure items are properly and safely stored, as well as labeling boxes and shelves
- Pick up or drop off supplies at the lab
- Assist accounting with weekly customer service calls/emails
- Maintenance of field vehicles (i.e. oil changes, tune‑up, etc.)
- Accept subpoena and depositions, then issue project number
- Close out litigation files
- Assist Local Director and IT as needed
- Minimum 2-3 years of relevant experience
- Strong professional verbal and written communication skills
- Ability to cooperate and work effectively with clients and coworkers
- Highly organized with strong time‑management skills and the ability to work with little or no direction
- Knowledge of basic office functions, including phone etiquette, faxing, and copying
- Computer literate, with the ability to quickly learn new programs and systems
- Ability to lift and carry equipment up to 20 lbs.
- Prolonged periods of sitting at a desk and working on a computer for documentation and reporting
- Must be able to pass a background check
