About the Role

We are seeking a Sales Operations Specialist to support the sales organization through efficient order processing, vendor coordination, customer communication, and cross‑functional collaboration. This role is critical to ensuring smooth sales operations and delivering a high level of customer service throughout the order lifecycle. The ideal candidate is detail‑oriented, highly organized, and capable of managing multiple priorities in a fast‑paced environment.

Onsite (Hayward, CA)

Key Responsibilities
  • Validate and process customer orders accurately and efficiently
  • Communicate with vendors and manufacturers regarding order requirements and status updates
  • Manage vendor quotations, negotiate payment terms, and follow up on order progress
  • Understand and follow established guidelines, workflows, and operational processes
  • Support multiple sales managers and manage multiple orders simultaneously
  • Monitor order status and proactively provide updates to customers
  • Serve as a point of contact for the department and collaborate with cross‑functional teams including Finance, Sales, and Engineering
  • Coordinate with the Logistics department to ensure timely product deliveries
  • Maintain and update sales records, customer information, and operational documentation
  • Prioritize tasks effectively and resolve issues in a timely and professional manner
Qualifications
  • Bilingual English and Mandarin strongly preferred
  • Strong customer service orientation with a goal‑driven mindset
  • Excellent analytical, organizational, and multitasking skills
  • Detail‑oriented with a willingness to learn and adapt
  • Ability to prioritize responsibilities and manage time effectively in a fast‑paced environment
  • Strong communication and collaboration skills with the ability to work across teams
Preferred Qualifications
  • Experience working with ERP/CRM platforms, with Net Suite experience preferred
  • Experience supporting sales operations, order management, or customer service functions preferred
  • Ability to manage multiple stakeholders and competing priorities effectively
