What is this career opportunity?This position serves in the Administration Section at the Montana Board of Crime Control. The Administrative Assistant provides high-level comprehensive administrative support for the section, the Montana Board of Crime Control, and the Youth Justice Advisory Council. The role includes coordinating and managing schedules, supporting meetings, drafting reports, memos, meeting minutes, and other written communications. The assistant provides services to facilitate operations for Crime Control staff, Board, and Council members, including travel arrangements, event coordination, form and template development, data and records management, and supply and equipment inventories.
The position also resolves day‑to‑day operational needs, serves as the primary point of contact for internal and external inquiries, and ensures the organization’s efficient operation.
Minimum
Education and Experience:
High school diploma and at least two years of office administration experience. Alternate combinations may be considered on a case‑by‑case basis.
Preference will be given to candidates with specific experience in:
- Administrative support for boards, councils, and committees.
Knowledge of:
- Office management practices and procedures
- Confidentiality procedures
- Microsoft Office software
- Customer‑service methods and techniques
- Data and records management
Ability to:
- Draft professional and technical written communications, including reports, letters, and memos.
- Use and manage virtual meeting platforms in accordance with open‑meeting laws.
- Support day‑to‑day office operations with accuracy, professionalism, and confidentiality.
- Demonstrate strong attention to detail and excellent organizational skills.
- Handle confidential information with discretion.
- Provide exceptional customer service and work well in a team environment.
- Build trust and credibility in working relationships.
- Manage varying deadlines and multiple projects, responding positively to changes in direction, priorities, and responsibilities.
- Keep large projects involving multiple parties moving forward and delivered on time.
- Provide guidance and instructions to other agency staff.
- Organize a dynamic workload and meet established deadlines.
