The Role

The Mortgage Loan Admin Specialist II initiates third‑party service orders on mortgage loans, manages appraisal orders from request through receipt, and processes required disclosures within established guidelines. The role requires extensive customer, vendor, and bank staff interaction and regular communication with the Mortgage Loan Admin Supervisor to suggest operational improvements.

This is a corporate position that may be located in any available bank division across AZ, CO, , MT, NV, TX, UT, WA, or WY. The mid rate for this position is $22.14 per hour (calculated for Kalispell, MT). Compensation is negotiable based on geographic location, experience and education.

Desk Functions
  • Order third‑party services on mortgage loans, including certification of eligibility on VA loans, condo documents, tax transcripts, title commitment, VOE/VOI/VOA, flood certificate, case numbers, payoffs on VA IRRRL loans, CAIVRS, and homeowners’ insurance policies.
  • Track and follow up on orders to ensure timely completion.
  • Maintain consistent, professional communication with all internal and external parties.
  • Remain current on loan programs, federal and state regulations, and bank policies to ensure all disclosure requirements are met within federal time limits.
  • Maintain contact with government agencies and investors to monitor changes in requirements and products.
  • Participate in educational offerings from FHA, FNMA, FHLMC, VA, and MI to stay current on industry changes.
Appraisal Desk
  • Order appraisals and manage the order process.
  • Ensure appraisal copies are delivered to applicants within the required timeframe.
  • Perform limited review of appraisals as required.
Disclosure Desk
  • Disclose initial mortgage loan disclosures promptly and accurately.
  • Ensure all required product, regulatory, and state disclosures are included in disclosure packages.
  • Issue appropriate disclosures and notices within regulator time frames.
  • Verify fee and loan information for accuracy at the time of disclosure.
  • Request additional information or documentation as needed.
About You Qualifications
  • High School Diploma or GED.
  • Minimum 2 years clerical experience in mortgage fulfillment.
  • Minimum 1 year experience in two of the loan admin desk functions (Order Desk, Appraisal Desk, or Disclosure Desk).
  • Advanced knowledge of company, FNMA, and FHLMC guidelines and procedures.
  • Experience with loan platform software such as Encompass and ability to learn additional applications.
  • Ability to multi‑task, strong organizational and analytical skills, attention to detail, and compliance with all company policies and applicable laws.
Education
  • Required:

    High School Diploma / GED.
  • Preferred:
    Advanced or specialized knowledge in relevant regulations and software.
Experience
  • Required:

    2 years clerical experience in mortgage fulfillment.
  • Preferred:
    Advanced experience with loan platform software.
License/Certification
  • No specific license or certification required.
Skills and Abilities
  • Multi‑task and handle complex tasks efficiently.
  • Strong organizational, analytical and detail orientation skills.
  • Compliance with Bank Secrecy Act, Patriot Act, and Office of Foreign Assets Control.
  • Complete assigned online training courses and maintain passing scores.
Physical Requirements
  • Work is largely sedentary; occasional lifting up to 10 pounds.
  • Environment: indoor, climate‑controlled shared work area.
  • Noise level: minimal.
