The Development Coordinator is responsible for day-to-day development operations, including donor database management in Bloomerang, accurate data entry, gift processing, donor recognition, and timely tax receipting/acknowledgements. This position supports fundraising efforts across donor cultivation, stewardship, and recognition; donor appeals; and reporting for leadership and committees. In collaboration with the Animal Services Manager, the Development Coordinator helps organize volunteers for development-related outreach and fundraising activities.

This position reports directly to the Director of Development & Communications.

Essential Job Functions:

Development Operations & Gift Processing
  • Ensure development operations run smoothly, including donation processing, tax receipting/acknowledgements, reporting, and related administrative workflows.
  • Manage and process all online and phone donations.
  • Process gifts and issue acknowledgement letters/receipts within 48 hours, reflecting donor intent and complying with legal/IRS requirements.
  • Record pledge agreements and other gift documentation accurately in the database and ensure tax receipting as required.
  • Database Management, Records & Reporting
  • Maintain the Bloomerang database with accuracy, confidentiality, timely data entry, document management, and reporting.
  • Work closely with the Director of Development to ensure data is accurate and that recognition/follow-up tasks are assigned to the appropriate party (Executive Director or Director of Development).
  • Identify and flag new donors and notable gifts/trends, and communicate them to appropriate Development staff.
  • Produce reports and materials for the Executive Director, Director of Development, Board leadership, and the Development Committee as needed.
  • Notify the Executive Director and Director of Development when major gifts or bequests are received, donor issues arise, or donor contact is needed.
  • Donor Stewardship & Administrative Support
  • Support donor cultivation, stewardship, and acknowledgements via mail, email, phone, personal contact, and events.
  • Support annual fundraising efforts by producing letters/documents/reports, scheduling meetings and appointments, conducting prospect research, and preparing for donor meetings and solicitations.
  • Appeals, Marketing Support & Content
  • Manage list selection, production, distribution, and tracking for all donor appeals (mail, online, and social media).
  • Help obtain photo, video, and story content for adoptions, fosters, fundraisers, and other shelter activities consistent with LCHS mission and branding.
  • Assist in drafting marketing and social media content to support adoption promotion and community engagement (content reviewed/approved/posted by the Director of Development & Communications).
  • Grant Tracking & Planning Support
  • Maintain the grant proposals calendar, including due dates, amounts received, and fund restrictions.
  • Collaborate with the Director of Development to support innovative revenue strategies and plans across annual giving, grants, major gifts, capital campaigns, events/initiatives, and planned giving.
  • Events & Auction Management
  • Assist with planning and execution of organizational events in collaboration with the Director of Development and relevant committees/staff/volunteers.
  • Manage silent auction procurement tracking in the database, including inventory and auction operations during the organization’s largest annual fundraising event.
  • Community Outreach & Public Engagement
  • Serve as a liaison with the community and coordinate/participate in community outreach events.
  • Ensure LCHS participation in business/community nights, booths, and related opportunities.
  • Promote LCHS through community-facing avenues and represent the organization professionally.
  • Provide facility tours to donors, volunteers, friends, and business groups.
  • Professional Communication & Visitor Experience
  • Communicate effectively and professionally with staff, board members, donors, volunteers, and community partners.
  • Provide a welcoming, friendly, and helpful experience for visitors, supporting a positive image and atmosphere for LCHS.
