Description
- Reporting to the Director of Academic Success, the Administrative Assistant provides administrative support to the Office of Academic Success. This position requires the use of independent judgement in planning, prioritizing a diversified workload, and regular communication with students, faculty, physicians, and administrators at Hofstra University, the School of Medicine, and Northwell Health. Responsibilities include, but are not limited to:

  • Coordinates the day-to-day operations of the Office of Academic Success (OAS) and serves as a primary contact for students seeking academic support services.
  • Coordinates individualized and group academic success programming, including Step preparation activities, workshops, materials for OAS owned courses and related programming.
  • Manages the procurement, payment, inventory, and distribution of academic learning resources, including UWorld QBank subscriptions, NBME vouchers, and other educational resources, while maintaining accurate records and monitoring utilization.
  • Coordinates logistical support for USMLE Step 1 and Step 2 CK examination preparation initiatives, including communications, scheduling, resource distribution, and student tracking.
  • Under the direction of the Director, coordinates the operational administration of the Peer Tutoring Program, including tutor recruitment support, scheduling, session tracking, payroll documentation (if applicable), program communications, and maintenance of participation records.
  • Develops and maintains reports and dashboards related to student utilization of academic support services, tutoring participation, learning resources, and program outcomes to support departmental assessment and decision-making.
  • Maintains confidential student records related to academic success interventions for a student body of approximately 450 medical students.
  • Serves as the primary coordinator for routine communications with students regarding academic support services, appointments, educational resources, and office programming.
  • Supports the preparation of materials, reports, and documentation for the Student Advancement Committee and other institutional committees as assigned.
  • Assists with departmental projects, continuous quality improvement initiatives, website updates, event planning, and development of educational materials.
  • Collaborates with faculty, staff, and institutional partners to facilitate academic success initiatives and ensure timely coordination of student support services.
  • Identifies opportunities to improve operational workflows and recommends enhancements to departmental processes and student services.
  • Collaborates with other administrative staff members to provide coverage during absences, balance workload across the team, and support School of Medicine initiatives.
  • Performs other duties and special projects as assigned.

Qualifications
- Bachelor's degree required. Minimum three years of progressively responsible administrative, program coordination, or higher education experience. Demonstrated experience coordinating multiple projects and competing priorities with minimal supervision. Possess customer service orientation with excellent organizational skills, attention to detail and oral and written communication skills. Must be a creative problem solver with an ability to work independently. Demonstrate a high degree of judgment, discretion, and confidentiality.

Must be mission-driven, motivated, and a lifelong learner. Extensive computing experience and demonstrate proficiency with Microsoft Word, Excel, PowerPoint, and Outlook. A flexible work schedule, including some early mornings and late evenings, may be required to support extended student services.

Preferred Qualifications
- Experience working in medical education, higher education, or student affairs. Experience coordinating student support programs, tutoring programs, advising initiatives, or academic success services. Experience with educational technologies, learning management systems, or student information systems. Experience with data tracking, assessment, or program evaluation.

Salary/Salary Range - $59,000-$63,500
