Job Description
Century 21 Americana has an exciting opportunity for a Personal / Executive Assistant to the President of our growing company. The Assistant will work closely with the President to ensure his day-to-day is structured, coordinated, and organized, enabling him to maximize his productivity and to carry out his job effectively.
Responsibilities- Handling incoming emails, calls, and enquiries – organizing communications and acting as gatekeeper.
- Managing schedule and daily training sessions.
- Coordinating meetings, setting agenda, preparing presentation materials, tracking and distributing meeting minutes.
- Streamlining administrative processes to ensure the Leadership team consistently operates at the highest level of efficiency.
- Carrying out advanced internet research to provide detailed information regarding potential clients and business partners.
- Run errands as requested.
- Coordinating travel arrangements, including flights, accommodation, and ground transportation, and creating itineraries.
- Coordinate events and speaking engagements.
- Providing administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on the executive’s behalf.
- Assisting in writing and transcribing speeches.
- Performing minor accounting and bookkeeping duties.
- Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary.
- Taking incoming phone calls and handling stations or taking accurate messages.
- Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department.
- Hold a Nevada Real Estate license.
- Exemplary planning and time management skills.
- Exceptional attention to detail.
- Ability to interact with high-profile clients and executives.
- At least 3 years of experience as a personal or administrative assistant.
- Outstanding verbal and written communication skills.
- Strong organizational skills.
- Ability to treat confidential information with appropriate discretion.
- Strong interpersonal skills.
- Proactive approach to problem-solving.
- Ability to act as a gatekeeper and elevate relevant information to the executive as needed.
- Skilled in the use of standard office equipment.
- Ability to work effectively with minimal supervision.
- Strong computer skills with familiarity with Mac and the Google Suite.
- Exceptional multitasker with experience of working at a very fast pace while prioritizing conflicting demands.
- Excellent communicator with the ability to connect with people and build relationships quickly.
- A good level of organizational skills and discretion when dealing with confidential company matters.
- Always available, mobile, and willing to travel.
