Position Summary:The Administrative Specialist III for Housing and Community Standards coordinates daily office operations and provides comprehensive administrative support for the department. This position maintains departmental, personnel, and housing records; prepares reports; and ensures compliance with state, federal, and institutional policies and procedures.
Duties & Responsibilities:Primary

- Serve as the primary clerical and administrative support for the department
- Maintain accurate, current, and organized departmental and personnel files
- Act as office receptionist by greeting, assisting, and directing visitors
- Handle departmental correspondence and respond to customer inquiries
- Supervise and support student workers assigned to the office
- Serve as a representative of the department, division, and University
- Process incoming housing contracts
- Manage room assignments and room changes in the housing system with direction by the Assistant Director
- Process student meal plan changes with direction by the Housing Coordinator
- Assist students with the online housing system
- Enter student charges into the billing software system
- Submit and manage EPAFs in the payroll system
- Prepare and verify personnel and payroll documents
- Complete requisitions for departmental purchases
- Enter travel requisitions and official function paperwork
- Order and maintain office supplies
- Maintain working relationships with Hall Directors and Resident Assistants and assist with operational needs
- Perform other duties as assigned or deemed necessary
- Ability to maintain a professional and welcoming demeanor with a strong spirit of cooperation and self‑motivation
- Proficiency in Microsoft Office applications
- Strong teamwork and collaboration skills; ability to work effectively as part of a team
- Ability to learn quickly, adapt to new systems, and apply new information effectively
- Experience in customer service and responding to inquiries in a professional manner
- Ability to work in an office environment and manage multiple tasks in a fast‑paced setting
- Strong communication and interpersonal skills
- Attention to detail and organizational skills
Hours:
Monday – Friday
8:00 a.m. – 5:00 p.m.
Additional hours as requested and/or needed
Regular and reliable attendance is required
Minimum Qualifications:The formal education equivalent of a high school diploma; plus one year of specialized training in business management, business education, or a related field; plus two years of experience in a specialized or related field applicable to the work performed.
Other job related education and/or experience may be substituted for all or part of these basic requirements, except for certification or licensure requirements, upon approval of the qualifications review committee.
