Administrative Assistant 4 – Office of Marketing & Events

Nevada State University invites applications for the position of Administrative Assistant 4 in the Office of Marketing & Events, Division of Advancement. The role supports the university’s mission by managing workflow for project and printing requests, marketing collateral, promotional items, and office products, as well as providing administrative support to the Vice President and the Foundation Board.

Nevada State University is a four‑year Minority Serving public institution with a statewide mission. It is designated a Hispanic Serving Institution (HSI) and an Asian American Native American Pacific Islander Institution (AANAPI). The university serves a diverse student population, with 48% Hispanic, 10% Asian/Pacific Islander, 10% Black/African American, and 22% White.

Core Responsibilities
  • Plan, communicate, and implement processes for project requests and ordering marketing collateral, promotional items, and office products, including vendor quote requests, order processing, and art/proof approvals.
  • Schedule meetings and coordinate travel for the Vice President, and manage meetings for the Office of Marketing & Events and the Foundation Board.
  • Prepare, track, and monitor transactions in the Workday System, such as procurement card reconciliations, purchase requisitions, and invoice payments.
  • Participate in planning, organizing, and developing promotional and informational activities, such as portal/info screen announcements.
  • Maintain calendars, reserve rooms, and coordinate agendas, reports and other materials for weekly team meetings and other meetings.
Required Qualifications
  • High school graduation or equivalent and four years of progressively responsible relevant work experience, including one of the following: administrative/program support to professional staff and management; secretarial duties supporting a manager; coordination of communications between manager, staff, and program clientele; supervision of subordinate staff; research of information from internal and external sources; one year as an Administrative Assistant 3 in Nevada State service;

    or an equivalent combination of education and experience.
  • Eligibility to work in the United States without sponsorship.
Preferred Qualifications
  • Prior experience in marketing, event planning, or higher education.
  • Highly proficient computer literacy, especially in MS Office (Word, Excel), Workday, and internet search tools.
  • Ability to multi‑task and work in a dynamic, fast‑paced environment.
  • Excellent interpersonal and communication skills for customer service.
  • Strong writing skills.
  • Proven ability to communicate (oral and written) with a high level of customer service to a broad audience.
  • Strong problem‑solving and organizational skills, including managing sensitive or confidential information.
  • High level of attention to detail.
Salary & Benefits

Budgeted salary: $50,153.76. Benefits include generous vacation and sick leave, 12 paid holidays, educational benefits, choice of three health‑insurance plans (with optional flexible spending or health‑savings accounts), and a pension through the Public Employees’ Retirement System of Nevada with a 19.25% employee contribution and 19.25% employer match. No relocation assistance.

Typical work schedule:
Monday through Friday, 8:00 am to 5:00 pm.
