Description
As an integral part of our Behavioral Health Solutions team, the Medical Scheduler plays a critical role in ensuring the efficient scheduling and coordination of psychiatry services within our skilled nursing facilities. This role is responsible for managing schedules, patient support, technology utilization, quality assurance, and facilitating seamless communication among our providers and facilities.
This position will float between scheduling, prior authorization, and our census operations teams.
Responsibilities- Schedule Management
- Create, maintain, and optimize schedules for psychiatry practitioners across multiple skilled nursing facilities.
- Continuously review and adjust schedules to accommodate urgent appointments, cancellations, or changes in patient needs.
- Ensure synchronization of appointments between psychiatry services, patients, and skilled nursing facilities to optimize scheduling efficiency.
- Maintain strict confidentiality of records, adhering to legal requirements and HIPAA compliance.
- Handle processing and timely scheduling of patient referrals for psychiatry services in Skilled Nursing Facilities, covering multiple providers and locations.
- Screen insurance verifications and census data as required.
- Proficiency in scheduling software, electronic health records (EHR), and other relevant technology tools to streamline scheduling processes.
- Conduct quality assurance measures to minimize scheduling errors and enhance efficiency.
- Generate reports on scheduling metrics and performance to support decision‑making and process improvements.
- Timely and efficient communication of scheduling concerns.
- Act as a liaison between providers and facilities to ensure seamless operations.
- Assist psychiatrists and other providers by ensuring they have the necessary patient information and resources for each encounter.
- Collaborate on special projects related to scheduling and administrative improvements.
- Assist in the development and enhancement of scheduling processes and platforms to increase efficiency and accuracy.
- High school diploma or equivalent.
- At least 1 year of medical administrative experience.
- Excellent oral, written, and listening communication skills.
- Effective organization and time management skills for multitasking.
- Ability to work in high‑pressure situations.
- Strong interpersonal skills and a professional demeanor.
- Proficiency in PC usage and Microsoft applications (Outlook, Word, Excel).
- Knowledgeable in EMR systems, preferably Athena.
- Punctuality and strict adherence to attendance expectations.
- Proven ability to work independently and collaboratively in a team.
