Academic Administrative Assistant

The Academic Administrative Assistant reports to the Dean of the School of Health Sciences and provides administrative support in day-to-day operations. The Assistant is responsible for managing purchasing, travel documentation, meeting preparation and follow-up, record-keeping and other tasks required for a smooth operational environment. The Assistant serves all faculty and students working in the School and occasionally supports operations for College-wide events and programs.

This position requires 40 hours of on-campus, in-person service to the School and College and is not eligible for remote work. Essential Duties

Assist academic dean with daily operations of the School of Health Sciences, including but not limited to:

  • Scheduling meetings
  • Creating and submitting travel documentation for faculty and staff
  • Recording, disseminating and maintaining meeting minutes
  • Maintaining and updating all information posted on the College's internal share drive
  • Ordering equipment and supplies according the College's purchasing procedures
  • Maintaining updated faculty syllabi and door schedules on the College's internal share drive
  • Building curriculum semester course schedules for the School of Health Sciences using the College's information system
  • Generating reports as requested from the College's information systems
  • Creating spreadsheets, surveys, and other documents upon request of Dean, faculty or staff
  • Managing incoming and outgoing mail for the School of Health Sciences

Provide administrative support for committees as assigned or requested

Provide excellent service to students, faculty and staff

Engage in professional development

Provide other administrative duties as assigned by the Dean of School of Health Sciences

Qualifications

For all staff positions, salary determinations are based on the minimum educational qualifications required and the number of years of relevant experience associated with the position. The entry-level salary at VGCC corresponds to individuals with minimum years of experience for this role. Conversely, to qualify for the upper end of VGCC's salary range, an individual must have over 25 years of experience relevant to the position.

Education and Experience

Required:

  • Associate degree in office administration or related field
  • Demonstrated ability to
  • proficiently use the following Microsoft Office applications:
    Word, Excel, Power Point
  • learn information systems and other computer applications
  • appropriately prioritize and manage tasks and workload
  • communicate effectively in speaking and writing
  • provide excellent customer service to diverse populations
  • work as a member of a team

Education and Experience Preferred:

  • Experience working in an educational environment
Physical Demands
  • Light work that includes moving objects up to 20 pounds.
  • Sedentary work that primarily involves sitting/standing
