Office Administrator/ Coordinator, Virtual Assistant/ Remote Admin
As the trusted right hand to the SVP of Global Commercial Organization (GCO) at Bio‐Rad, your day begins with a strategic review of the executive's calendar, confirming meetings and highlighting any overnight developments. Throughout the day, you provide proactive support, anticipating needs and coordinating seamlessly across a large fast‑paced organization. With sound judgment and discretion, you manage sensitive communications and shifting priorities.
In addition, you will support other GCO leaders.
- Maintain calendar(s), provide timely administrative assistance as needed and initiate reschedules to optimize meetings.
- Plan and organize department‑wide events, large meetings, and off‑site gatherings. Handle logistics such as agendas, venues, catering, travel arrangements, and meeting materials. Assist in preparing and distributing presentations and follow‑up documentation.
- Oversee office space needs, equipment, and supplies to ensure an efficient and professional work environment. Serve as a point of contact for facility and office‑related issues.
- Make travel arrangements including international coordination of meetings and initiate accurate completion of expense reports for submission.
- Support other managers within the department with scheduling, coordination, and administrative tasks.
- Use fact and discretion in handling confidential and sensitive information.
- Education:
Associate’s degree or equivalent experience. - Work Experience:
Minimum of 6 years of experience in an executive administrative or senior administrative role supporting senior leaders. - Strong organizational and time‑management skills with the ability to prioritize multiple tasks.
- Excellent written and verbal communication skills, including diplomacy and tact.
- Ability to work independently and handle sensitive information with discretion.
- Proven experience coordinating events, managing travel logistics, and processing expense reports.
- Strong interpersonal skills and the ability to build collaborative relationships across all levels of the organization.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) required.
This position must be based in Hercules, California and requires the employee to be located within commuting distance of the office.

CompensationThe estimated base salary range for this position is $73,000 to $101,700 at the time of posting. Actual compensation will be provided in writing at the time of offer, if applicable, and is based on several factors we believe fairly and accurately impact compensation, including geographic location, experience, knowledge, skills, abilities, and other job‑permitted factors. This position is eligible for a variable annual bonus, which is dependent upon achievement of your individual objectives and company performance.
