POSITION PURPOSE Provides administrative, processing, and servicing support to the mortgage lending team to ensure loans and loan documents are processed and uploaded accurately and efficiently.
Due to the time sensitive nature of these documents, this position helps monitor loan closings to ensure loan documents are received in a timely manner and then scans/mails/uploads documents as determined by the type of loan. Further, ensures all loan support is received and uploaded to ensure the completeness of all files.
Provides support to staff, members, title companies, and realtors answering questions & returning calls as needed.
Extensive administrative and organizational skills are required to safeguard that loan files are complete and loan documents are accurate. Effective communication is paramount for the timely exchange of information and to ensure supporting documentation is received so a mortgage file is completed within a suitable timeline. Mortgage Support Specialists are expected to operate with moderate supervision and are evaluated on their ability to meet production expectations with accuracy, timeliness, and results.
POSITION RESPONSIBILITIES
1) Process mortgage closing packages ensuring all documentation is scanned and uploaded to TPO and SharePoint. This includes mailing out Notes as necessary and preparing an Assignment of Mortgage to mail to the title company. This process is extremely time sensitive and works with original loan documents where some originals must be retained in order to maintain the integrity of a loan.
2) Maintain accurate mortgage spreadsheet to track closed mortgages and mortgage fees & income.
3) Prepare mortgage satisfactions for paid off loans.
4) Record mortgage documents with appropriate counties to ensure lien positions can be secured.
5) Prepare payoff statement for title companies, other lenders, & members.
6) Order flood searches, O & E Reports, Title Commitments, and other supporting documents as needed for a loan.
7) Upload proof of insurance and monitor the CPI Notice Report to avoid members receiving force placed insurance. Reaches out to insurance companies as needed to request proof of insurance.
8) Prepare loan documents for home equity loans.
9) Closes Home Equity type loans if LO is unavailable. 10) Enter HMDA information for home equity and mortgage loans at least quarter to ensure files are complete and accurate. 11) Prepare adverse actions or notice of action for loan denials and mail to members. Close out applications for expired, denied, withdrawn loans. 12) Full audit and review of home equity & port mortgage loans to make sure all required documents are present and signed, verifying income, and completing review to verify everything needed is in the loan file.
13) Ensure final First Mortgage documents (recorded mortgage & final title work) are received and scanned into file. 14) Review paid off loan report each week to satisfy closed loans. 15) Prepare monthly mortgage reports (NFP, FHLB, Lereta, etc.) to provide to supervisor for review and upload. 16) Ensure monthly loan letters/notices regarding rate adjustments are mailed out. Ensure rates adjust appropriately.
Ensure automatic payment is sufficient. 17) Mortgage Processing of Port loans including ordering services, VOE, VOM, ordering payoff, verifying all supporting documents received and uploaded to TPO and SharePoint. Also scheduling closing and reviewing file once closed. 18) Assisting and monitoring the servicing of loans within Portico. 19) Booking various loan types directly to Portico and ensuring they are set up properly.
