Definition of Position:
The Payroll Specialist ensures that all payroll checks are processed in accordance with hospital and labor‑agreement policies and guidelines. This involves carrying out administrative tasks such as
1) preparing and processing bi‑weekly and monthly payrolls;
2) verifying accuracy of employee data and preparing reports on payroll activities;
3) responding to employee inquiries regarding their pay and taxes;
4) recording, verifying, and reconciling payroll‑related information;
5) calculating and processing on‑demand payroll checks;
6) processing daily reports from various programs;
7) maintaining organized and accurate employee records;
8) maintaining the integrity and confidentiality of payroll files and records;
9) serving as Benefit Assistant, as needed.
- Process Payroll:
Accurately prepare and process payroll for all employees, including calculating wages, overtime, deductions, and taxes. - Payroll Compliance:
Ensure compliance with federal, state, and local payroll regulations, including tax filings and reporting. - Maintain Payroll Records:
Keep accurate records of employee payroll information, such as earnings, deductions, and tax with holdings. - Resolve Payroll Issues:
Address and resolve any discrepancies or issues related to payroll, such as underpayments, over payments, or missed payments. - Process Employee Changes:
Update payroll information for new hires, terminations, promotions, and other employee status changes. - Assist in preparing and distributing year‑end tax documents such as W‑2s.
- The employee supports the hospital mission, vision, values, policies, and procedures.
- Participate in required education for DNV programs as applicable to position (reference program education curriculum).
- Perform other related duties as assigned.

Physical Requirements
Prolonged periods of sitting at a desk and working on a computer. Occasional walking, standing, bending, or lifting light office items (up to 25 pounds). Visual acuity to view computer screens and read detailed financial documents. Ability to communicate effectively in person, by phone, and electronically. May be required to move throughout the healthcare facility, including administrative and clinical areas.
Working Conditions
This position operates in a professional office setting within a healthcare facility. The role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets. The office environment is climate‑controlled, well‑lit, and ergonomically designed for extended computer work. While this role is primarily office‑based and does not involve direct patient care, the employee may occasionally be present in clinical areas or interact with staff working in clinical environments.
As such, there is a potential for exposure to infectious diseases. The organization provides appropriate training and personal protective equipment (PPE) as needed to ensure safety.
