Definition of Position

The Clinical Education Coordinator is responsible for overseeing the operational, logistical, and administrative functions of the hospital’s Clinical Education Department. This position ensures seamless delivery of education, onboarding, and student placement programs by managing department workflows, optimizing processes, and serving as the primary liaison between internal staff, external partners, and educational institutions. The coordinator applies independent judgment, problem-solving, and initiative to support workforce development and organizational goals.

Job Functions
  • Develop, implement, and maintain systems to streamline department operations, including education request tracking, student onboarding, and equipment reservations.
  • Serve as the primary contact for class registrations, Heart Code completions, license tracking, and account management.
  • Plan, schedule, and manage logistics for room reservations annually, ensuring resource readiness for education programs.
  • Monitor and maintain training materials; initiate purchasing requests for program supplies and office needs.
  • Plan and coordinate the hospital’s General Nursing Orientation, a three-day onboarding program for new nursing staff, reducing department-level onboarding burdens.
  • Organize continuing education events, including vendor communication, registration setup, promotional materials, and system-wide staff notifications.
  • Track attendance, participation, and outcomes to support compliance, reporting, and quality improvement efforts.
  • Administer all aspects of clinical student placements, including affiliation agreements, HR and infection control onboarding, badge creation, scheduling, and evaluations.
  • Act as liaison between academic institutions, hospital departments, and students to ensure positive clinical experiences.
  • Oversee job shadow requests by verifying eligibility, coordinating with departments, and ensuring documentation compliance.
  • Maintain transparent systems for managers to monitor student placements in their departments.
  • Design and manage the department’s Education Ticketing System using Microsoft Teams, Forms, and Power Automate, enabling educators to request, track, and manage educational activities.
  • Create and refine automated workflows for tracking equipment checkouts and classroom resources, ensuring accountability and availability.
  • Continuously identify opportunities to improve department efficiency, streamline communication, and integrate digital tools.
  • Provide cross-functional support to the Clinical Education team and other hospital departments.
  • Serve as a central resource and subject matter expert for education-related operations, requests, and special projects.
  • The employee supports the hospital mission, vision, values, policies, and procedures.
  • Participates in required education for DNV programs as applicable to position (reference program education curriculum).
  • Performs other related duties as assigned.
Qualifications Education

Required:

High school diploma required.

Associates degree or equivalent preferred.

Minimum of 2 years’ experience working in a professional healthcare setting.

  • Self-motivated, dependable, neatly groomed, personable, and well-organized.
  • Understanding of basic functions of a computer network. Microsoft Office (specifically Word, Outlook, PowerPoint, and Excel).
  • Excellent telephone skills and customer service skills.
  • Fax machine and copier experience.
  • Type a minimum speed of 45 WPM accurately.
  • Excellent skills in English, punctuation, spelling, grammar, and proofreading.
  • Knowledge of electronic health record system helpful.
  • Exceptional organizational skills with complex projects include the ability to manage multiple tasks at once with continual prioritizing throughout the day.
