Position ObjectiveNAIOP, the Commercial Real Estate Development Association, is seeking an Education and Registration Associate. This position serves as the registration lead for NAIOP’s 7-9 annual conferences and meetings. In addition to managing event registration, the associate will provide administrative support to the education team, assist the government affairs team with select tasks, and contribute to general office operations.
Primary ResponsibilitiesEvents and
Education:
- Serve as the registration lead for the education team, including:
- Create events in NAIOP’s Protech AMS database and update registration and session settings as needed.
- Process conference and course registrations; respond to related emails and calls.
- Handle manual registrations for special circumstances and process refunds and transfers.
- Prepare and distribute weekly registration reports and post-event summaries.
- Act as the main point of contact with the onsite badge registration vendor:
- Communicate logistical details and deliverables, including badge artwork from the marketing team.
- Prepare and deliver the final registration list to the badge vendor.
- Manage onsite registration at conferences, including payment processing, badge edits, and oversight of badge vendor staff.
- Prepare and print tour tickets and onsite registration forms.
- Collaborate with the Education team to execute events, including setup, teardown, and onsite logistical support.
- Coordinate packing and shipping of event materials:
- Serve as the primary contact for the shipping vendor and process related invoices.
- Schedule shipment pickups and deliveries; verify accuracy of shipping orders.
- Prepare and distribute packing lists and shipping deadlines to internal staff.
- Pack conference materials and label shipping crates pre- and post-event.
- Maintain inventory of event supplies and equipment in collaboration with the event planning lead.
- Reserve loading dock and freight elevator with property management.
- Monitor the Education department email account and respond to related emails.
- Provide administrative support for the annual Inclusion Scholarship for Young Professionals.
- Coordinate AIA continuing education credits for NAIOP conferences by submitting session objectives and attendee participation.
Government Affairs:
- Support the Government Affairs team with the annual Chapter Leadership & Legislative Retreat:
- Organize handouts and folders for Capitol Hill Day.
- Collect and organize Capitol Hill visit information from chapters.
- Provide customer service at the Government Affairs desk onsite.
- File required lobbying disclosure reports and assist with tracking contributions as needed.
General Office Management Support:
- Answer general phone calls and route to appropriate staff.
- Sort and organize incoming and outgoing mail and packages.
- Maintain office kitchen duties.
- Serve as a liaison with property management for requests and loading dock reservations.
- Perform other duties as assigned based on the needs of the Association.
- Experience with databases; AMS experience is preferred.
- Strong customer service and administrative skills.
- Exceptional attention to detail and organizational ability.
- Ability to support multiple projects and maintain accurate records; flexibility to balance competing priorities.
- Professional demeanor and excellent interpersonal skills.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office Suite.
- Ability to travel for conferences (approximately 15% annually), including working extended hours onsite (nights and weekends).
- Ability to work in-person at the Herndon, VA office at least three days per week.
