Administrative Coordinator II
This role serves as the friendly front‑desk presence, managing visitor registration, phone calls, office supplies, meeting logistics, and providing administrative support to the team.
Responsibilities- Manage visitor registration and ensure security compliance.
- Answer and direct all incoming calls courteously and efficiently.
- Maintain optimal supply levels and coordinate equipment servicing.
- Arrange travel plans for Managers and Directors as required.
- Track and manage office, breakroom, and other supply budgets.
- Organize and facilitate high‑level meetings and conference room setups.
- Handle moderately complex expense reports and purchase requisitions.
- Maintain advanced filing systems, databases, and digital documents.
- Manage schedules and appointments for teams or departments.
- Assist with basic scheduling and routine administrative tasks.
- Prepare and edit simple documents, memos, and reports.
- Act as a point of contact for seating matters and approval makers.
- Coordinate efforts within a single department or small team.
- Assist in organizing small‑scale team‑building activities.
- High school diploma or equivalent.
- 3+ years of relevant experience in office administration or administrative support.
- Beginner to intermediate experience with Ticketing Systems (e.g., Service Now), Seating Software (e.g., Visual Directory), and Procurement Systems (e.g., Ivalua).
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams, One Note, SharePoint Online).
- Experience with multi‑line phone systems (e.g., Cisco Attendant Console) and facility access control systems (e.g., C‑Cure, Splan VMS).
- Associate’s degree in Business Administration or related field.
- Prior experience in the aerospace and defense industry.
- Advanced knowledge of Workday or similar HRIS systems.
- Administrative certifications.
- Basic knowledge of administrative practices and clerical tasks; exposure to office environments.
- Professional demeanor and excellent communication skills.
- Strong organizational skills, multitasking, time‑management, and teamwork.
- Experience maintaining a secured facility or working in a U.S. military or Department of Defense environment.
- Experience with industry‑standard security and safety protocols.
- Ability to lift up to 20 lbs.
- Ability to stand or sit for long periods.
- High proficiency with computers and office equipment.
- Manual dexterity for handling office supplies and equipment.
- Ability to work in an office or hybrid environment.
- Travel may be required.
