Description
The Front Desk Administrator serves as the first point of contact for clients, homeowners, vendors, and visitors, creating a professional, welcoming, and customer-focused experience. This position is responsible for managing front desk operations, handling incoming communications, and providing administrative support to ensure the smooth and efficient functioning of the office.
The ideal candidate is highly organized, personable, and detail-oriented, with strong communication and customer service skills. They thrive in a fast-paced environment, can effectively manage multiple priorities, and maintain a positive and professional demeanor while assisting a variety of stakeholders.
Requirements Customer Service & Communications- Answers incoming calls and responds to portal inquiries in a timely and professional manner.
- Assists homeowners, clients, and visitors with questions, requests, and general information.
- Routes inquiries to appropriate team members when necessary.
- Maintains clear and courteous communication at all times.
- Ensures all responses are handled within established service timelines.
- Greets and assists visitors, clients, and vendors in a professional and welcoming manner.
- Provides in-person support for homeowner and client needs.
- Maintains a clean, organized, and presentable front desk and reception area.
- Manages visitor check-in and ensures proper procedures are followed.
- Receives, sorts, and distributes incoming mail and packages.
- Prepares outgoing mail and coordinates shipping as needed.
- Ensures timely and accurate delivery of correspondence to appropriate recipients.
- Maintains organized mail and package tracking processes.
- Monitors inventory of office supplies and places orders as needed.
- Ensures office supplies are stocked and readily available for staff.
- Coordinates with vendors for supply orders and deliveries.
- Assists with general administrative and office support tasks.
- Collaborates with internal teams to support daily operations and client needs.
- Maintains accurate and organized records related to front desk and administrative functions.
- Represents the company in a professional manner at all times.
- Adheres to all company policies and procedures.
- While performing the duties of this job the employee is required to stand, sit, crouch and bend.
- Use hands to handle and feel objects or equipment.
- Reach with hands and arms.
- May be required to lift up to 25 pounds.
- May be exposed to extreme temperatures.
- Must be able to drive a vehicle to transport to and from work locations and maintain a valid driver’s license.
